Job Description
Job Title:** Accounts Payable SpecialistReports To:** Office ManagerJob Summary: We are seeking a detail-oriented and experienced Accounts Payable ('AP') Specialist to join our office team. In this role you will be responsible for the full cycle of the AP Process. This would include reviewing, recording and processing vendor invoices, resolving discrepancies, ensuring timely payments, and supporting related activities such as vendor account maintenance (W9 Forms, tax exempt certificates, etc.). The ideal candidate will support accurate financial records and compliance to company policies and be an experienced user in Quick Books Online.Key Responsibilities:Invoice Processing: Receive, match, code, and batch invoices with purchase orders or contracts.Payment Execution:** Prepare and process electronic transfers (ACH), checks, and wire transfers accurately.Vendor Management:** Reconcile vendor statements, investigate discrepancies, and communicate professionally with vendors regarding status.Reconciliation & Reporting:** Assist with month-end closing, general ledger reconciliation, and generating AP aging reports.Compliance:** Maintain accurate records for audits and ensure compliance with federal, state, and local regulations.Data Entry:** Maintain accurate vendor records, including updating W-9 forms, insurance certificates, and tax-exempt certificates.Key Soft SkillsAttention to Detail: Crucial for detecting discrepancies in invoices, payment amounts, and vendor data.Communication Skills:** Effectively communicating with vendors to resolve disputes and with internal teams regarding invoice approvals.Organization & Time Management:** Managing high volumes of invoices, prioritizing tasks, and meeting payment deadlines.Problem Solving:** Investigating and resolving invoice discrepancies, vendor inquiries, and payment errors.Compensation & Benefits:Competitive pay (based on experience)Benefits include Paid Time Off, 401k, Health & Dental InsuranceOpportunity to grow with a reputable construction companyCompany DescriptionWe specialize in commercial and industrial construction, with offices in two locations; our corporate headquarters is located in New York and our coastal division, which opened in 2004, is located in Myrtle Beach, South Carolina.
