Job title: Full Time Property Management Front Office Assistant/Receptionist
Company Overview: Next Generation Property Management is a leading property management company dedicated to delivering exceptional service and maintaining high standards for our property owners and tenants. We are looking for a professional, enthusiastic and organized office assistant to be the welcoming face of our office and provide crucial support to our property management team.
Position Overview: Working in the front office, you will be responsible for creating a positive first impression for owner clients, tenants, vendors and visitors. Your role will include managing phone calls, handling correspondence, and providing essential administrative support to ensure smooth office operations.
Key Responsibilities:
· Greet everyone warmly, ensuring a positive and professional atmosphere
· Answer and route phone calls, taking accurate messages and responding to inquiries
· Handle email and mail correspondence, including processing and distributing communications
· Assist in scheduling and coordinating meetings, appointments and property viewings
· Process rent payments
· Perform general office duties such as filing, data entry, managing office supplies
· Maintain a clean and organized reception area and office environment
Qualifications:
· High school diploma or equivalent; relevant administrative or property management experience is a plus
· Previous experience as a receptionist or similar administrative role preferred
· Strong communication and interpersonal skills, with a focus on customer service
· Proficiency in Microsoft Office Suite (Word, Excel) Google Docs, Gmail Calendar and office equipment
· Excellent organizational skills and attention to detail required
· Ability to handle sensitive information with confidentiality and professionalism
· Friendly demeanor with a proactive approach to problem-solving
· Be a self-starter who is willing to work as part of a team
