Accounting Specialist

Roles And ResponsibilitiesAccounts PayableProcess supplier invoices and other check requests in a timely manner while following company guidelines and with proper approvalReview and process employee and contractor expense reports ensuring proper collection of expense receiptsPrint unpaid bills reports, highlight invoices for payment, obtain check payment approval, and print checksCorrect any discrepancies in vendor accountsEnsure proper collection of W-9 forms and prepare 1099 tax filings on an annual basisAssist with processing sales tax payments to proper government agenciesFile all necessary paperwork in vendor files as needed Accounts ReceivableReview customer contracts and process timely and accurate billing of customer invoicesResearch and resolve any invoice discrepancies with proper department approvalMonitor customer accounts for late payments and other irregularitiesSend routine customer statements and initiate collection on past due accountsProcess any necessary credit memos and corrections to customer accountsFile all customer invoices and backup paperwork as neededReport payments received daily and record in the system Additional ResponsibilitiesBackup support for customer service personnel for all incoming callsAssist in distribution of program materials to offsite staff, independent contractors, and customersAssist and prepare for monthly, quarterly, and annual audits and accounting reportsAssist in maintaining a working office environment (including managing internal lists, mail, incoming/outgoing materials, and office-related equipment) and report problems to proper personnelKeep important information and company documents organized electronically while maintaining a high level of confidentiality and discretionManage and edit consultant contracts and share with the Accounting ManagerPerform other accounting, financial, or administrative tasks as assignedRequired Skills & ExperienceHigh school diploma or GEDAccounts payable/receivable and QuickBooks experienceHighly detail-oriented and self-motivatedTeamwork attitude with a strong aptitude for professionalism and courtesyAbility to process a high volume of data in a productive and quality driven mannerAbility to keep accurate records, prepare and manage files, reports, letters, and billingStrong Microsoft Office and computer skills requiredAbility to communicate clearly verbally and in writing with internal/external staff, vendors, and clientsMaintains alignment with Where Food Comes From, Inc.’s Mission, Purpose, and ValuesFlexibility, focus and resilience in the face of high workload and competing demandsMaintain confidentialityPreferred Skills & ExperienceA degree and/or professional training in accounting, finance, or similar fieldExperience in industries with agriculture, agri-food systems, sustainability, and/or food, beverage, CPG certifications is a plusPossess a problem solving and solution-oriented approach coupled with a client focused mindsetPhysical RequirementsAble to lift and carry up to 35 pounds.Able to use standard computer keyboard on a frequent basis.Able to walk up and down stairs and to sit for up to 8 hours.Working ConditionsCastle Rock, CO officeSome travel required (~5%)Additionally, due to the nature of the information handled within this position, confidentiality and avoiding conflict of interest is required.
