Administrative Assistant
The Insurance Compact has an exciting opportunity for an Administrative Assistant. The Administrative Assistant will provide customer service to the Compact senior leadership and secondary support to the rest of the Compact Team. This position must be proactive and efficient to provide executive and organizational support.This is a full-time position, working a hybrid schedule based out of the Washington, DC office. Responsibilities include: Manage the daily calendar for the Insurance Compact Team using Microsoft Outlook, including scheduling meetings and conference calls as directed by senior leadership.Coordinate and support all internal and external meetings, including room scheduling, invitations, food orders, agenda preparation, and meeting minutes.Support preparation for national meetings by coordinating with the NAIC National Meeting. Team, compiling and distributing briefing materials, and shipping materials as requested.Attend meetings and conference calls as needed to provide administrative and logistical support, including periodic travel.Arrange travel for the Insurance Compact Team and prepare itineraries and related reports.Submit travel-related expense reports in a timely and accurate manner.Plan, organize, and manage multiple projects in a fast-paced environment with strong attention to detail.Serve as an information resource by responding to inquiries and providing project status and procedural guidance.Build and maintain effective working relationships with Insurance Compact and NAIC staff.Maintain organized internal and external electronic filing systems.Works with the Regulatory Affairs Team to issue the Committee meeting notices and update the website as necessary.Composes minutes of Commission and Management Committee meetings in a timely fashion after the conclusion of the Commission and Management Committee meetings.Works with the Insurance Compact Team in preparation of slides, charts, and other presentations in Microsoft PowerPoint as needed for internal and external presentations, national meetings, and conferences.Minimum Education and/or Experience RequiredCollege degree and three to four years of administrative assistant experience or equivalent combination of education and experience.Systems & Technology RequirementsMicrosoft Office Suite, Adobe Publisher and electronic mailTravelThis position requires regular, out-of-state, overnight travel in support of member meetings and events throughout the year.Compensation$29.73 - $34.00 an hour, commensurate with education and experience.Sponsorship Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.The Compact is proud to be an Equal Opportunity Employer Applicants for all positions are considered without regard to age, race, creed, color, religion, sex, sexual orientation, gender identity or expression, national origin or ancestry, marital status, pregnancy, genetic information, military or veteran status, disability, or any other basis protected by applicable law.
