BASE Programs is a dedicated non-profit organization committed to enriching the lives of youth in the Oceanside and Camp Pendleton communities. Our mission is to empower young individuals to reach their full potential by becoming lifelong learners with a spirit of creativity. In collaboration with the Oceanside Unified School District (OUSD) and Fallbrook Unified Elementary School District (FUESD), we provide engaging expanded learning programs across 16 school sites.
*Position Summary*
We are seeking a proactive, highly organized, and detail-oriented *Executive Assistant* to directly support the Owner/COO/CEO of BASE Programs. In this critical role, you will serve as the owner's right hand—answering emails, streamlining daily operations, coordinating organizational communication, and helping ensure our programs run seamlessly across all school sites.

*Key Responsibilities*
* *Executive Support:* Manage the owner’s calendar, schedule high-level meetings, organize priority tasks, and handle sensitive administrative details with discretion.
* *Operational & Administrative Coordination:* Draft and format correspondence, prepare reports, and assist with organization-wide documentation and records management.
* *District & Program Liaison:* Act as a professional point of contact for internal staff, school district partners, community stakeholders, and vendors.
* *Data & Compliance Support:* Assist in overseeing administrative tracking systems, grant data workflows, and documentation requirements necessary for multi-site operations.
* *Special Projects:* Oversee administrative projects, event coordination, and logistics to support expansion, staff initiatives, and community outreach.
*Qualifications & Requirements*
* *Experience:* 2+ years of experience in an Executive Assistant, High-Level Administrative, or Office Management role (non-profit or educational setting preferred).
* *Education:* High School diploma required; Associate’s or Bachelor’s degree preferred.
* *Communication:* Exceptional written and verbal communication skills with strong attention to detail.
* *Technical Skills:* Proficiency in Google Workspace / Microsoft Office Suite, scheduling tools, and data/grant management software (or aptitude to learn quickly).
* *Core Competencies:* Strong problem-solving abilities, high adaptability, top-tier time management, and a collaborative mindset.
