Finance Manager
ROLE OVERVIEWThe Finance Manager is responsible for the daily accounting operations of Citizens for Animal Protection, Inc. (CAP), ensuring that transactions are recorded accurately, bills and payroll are processed on time, monthly financial reports are completed promptly, and financial records are always audit-ready. Reporting directly to the Executive Director, this role combines hands-on accounting work with supervision of staff and coordination with external auditors, banks, and investment partners.This position will spend most days working directly in QuickBooks Online, reviewing transactions, reconciling accounts, supervising accounts payable, accounts receivable, payroll activities, preparing financial reports, and resolving day-to-day accounting issues.KEY DAY-TO-DAY RESPONSIBILITIESDaily and Weekly Accounting OperationsReview and approve daily financial transactions in QuickBooks Online, including deposits, journal entries, vendor bills, and expense allocations.Oversee Accounts Payable processing (via BILL) to ensure vendor bills are properly coded, approved according to policy, and paid timely.Oversee Accounts Receivable processing to ensure all receipts from contributions, Shelter and Clinic operations, and Education are secured and accurately recorded in QuickBooks Online and Raiser's Edge. Reconcile credit card receivables and monitor collections of pledges, grants, and matching contributions.Oversee Payroll processing, including review of payroll reports, resolution of discrepancies, and posting payroll entries to the general ledger.Monitor cash balances daily and ensure adequate liquidity for operations.Respond to day-to-day accounting, coding, and reporting questions from staff and leadership.Monthly Close and ReconciliationsLead the monthly close process and enforce close deadlines.Perform or review monthly bank, credit card, loan, and investment reconciliations.Reconcile donor revenue between the CRM donor database and the accounting system monthly.Prepare and review recurring journal entries, including accruals, allocations, depreciation, prepaid expenses, and restricted fund activity.Maintain organized, audit-ready electronic workpapers.Financial ReportingPrepare monthly financial statements within 10 days of month-end close.Prepare variance analyses comparing actual results to budget.Produce recurring reports for leadership, the Finance Committee, and the Board.Respond to ad hoc financial reporting requests, including for grant proposals.Budgeting and ForecastingCoordinate the annual budgeting process with leadership and department heads.Track actual results against budget throughout the year, with explanations of variances.Prepare cash flow projections and financial forecasts.Audit, Compliance, and Internal ControlsServe as primary liaison to external auditors and prepare audit schedules.Coordinate Form 990 preparation and review draft filings.Maintain and enforce internal accounting controls.Review and update financial policies and procedures as needed.Manage organization's insurance coverages and related risk management areas.Cash Management and InvestmentsPrepare cash flow forecasts and monitor liquidity.Execute transfers between operating and investment accounts.Coordinate with board members overseeing investments.Supervision and Cross-Department CollaborationSupervise accounting staff and review work for accuracy.Provide training, feedback, and performance evaluations.Collaborate with leadership, shelter operations, and development teams.PHILANTHROPIC EXPECTATIONSCitizens for Animal Protection is a mission-driven nonprofit organization.
