Founded in 2000, the National Crime Victim Law Institute (NCVLI) is a 501(c)(3) nonprofit educational and legal institute located in Portland, Oregon. NCVLI has a partnership with Lewis & Clark College but is an independent entity. NCVLI’s mission is to actively promote comprehensive and enforceable legal rights for crime victims and access to knowledgeable attorneys to help protect those rights in every case through victim centered legal advocacy, education, and resources. NCVLI is the only national organization focused on promoting victims’ legal rights in criminal, civil, military, and administrative justice systems. Our work takes many forms – we litigate (in the form of amicus curiae, occasional direct representation, and legal technical assistance); provide education through publications and trainings (both in-person and technology-assisted); and develop public policy. We have a small, mighty staff working hard to serve the country so that no survivor is left without expert legal representation in our justice systems. This is a chance to make a difference in the lives of survivors by amplifying NCVLI’s work. We are seeking to contract a temporary Event Coordinator to bring together the national community of victims’ rights legal professionals, showcase NCVLI’s work, and help generate dollars so that NCVLI can serve survivors into the future.
The position will coordinate all aspects of NCVLI’s annual Crime Victim Law Conference, which is anticipated to have in-person and virtual elements, and includes the Voices for Justice Reception, a fundraising event. The 2025 Conference is scheduled for May 19-21, 2025, with Voices for Justice anticipated to be held the evening of May 19, 2025. The Conference location is the Portland Downtown Hilton in Portland, Oregon (contract already signed). The Voices for Justice location is to be determined. We will also be looking to secure locations for 2026.
The Event Coordinator will have responsibility for:
Maintaining Event budget.
Developing and overseeing Project management plan.
Coordinating and managing registration, including creating registration websites, forms, and related materials.
Securing continuing legal education certifications for attendees.
Responding to inquiries, resolving concerns, and supplying information to attendees.
Effective review and recommendation of meeting sites, negotiate vendor contracts (including to respond to accommodation requests and potentially for hotels for 2026 Conference), manage logistics including group travel, lodging arrangements, meeting set-up, food and beverage requirements, and audio-visual support, produce and distribute meeting materials, and will develop a timeline to ensure all deadlines are met.
Outreach for speakers, auction donations, sponsorships and attendee engagement.
Populate and manage online event platforms (i.e., Greater Giving and Whova).
Assist with run of show for both events, including engagement strategies.
Actively collaborate with NCVLI staff who will serve as the subject matter experts and be intimately involved in speaker communications.
Collaborate with and engage NCVLI Board of Directors to effectively execute project management plan.
Generate regular reports regarding progress and outcomes throughout the Contract.
Participate in a post-event debrief that contributes to a final event Report.
MINIMUM QUALIFICATIONS:
2+ years of experience in major event planning, preferably within the nonprofit industry or corporate environment; or the equivalent combination of education and experience;
2+ years of related experience managing virtual and in-person conferences and trade shows;
2+ years of experience in development, donor engagement, or fundraising event management;
Understanding of event technology platforms and tools employed in the planning and education of events; must include Whova, Greater Giving and Zoom;
Strong editing, proofreading, and communication (oral and written) skills with demonstrated ability to communicate with both technical and non-technical persons;
Excellent event planning, negotiating and organizing skills;
Demonstrated project management skills with an ability to prioritize workload and several projects simultaneously;
Demonstrated ability to establish and adhere to project schedules and adjust priorities as needed;
Strong attention to detail and ability to work independently as well as in a collaborative team environment;
Service-oriented, high energy, and strong interpersonal skills;
Committed to issues affecting crime victims as well as to the interconnected issues of racial, economic and gender justice, and fighting systems of oppression;
Ability to honor and work with all identities and individuals, particularly those who are underrepresented in the country; and
Commitment to NCVLI’s mission.
PREFERRED QUALIFICATIONS:
Professional certification from one of the following: Certified Meeting Planner (CMP), Certified Government Meeting Professional (CGMP), Certified Special Events Professional (CSEP), or Digital Event Strategist (DES);
Studies in Business, Communications, Marketing, Public Relations, or related discipline preferred;
3+ years of related experience managing virtual and in-person fundraising events, conferences and trade shows, preference for national events;
Experience with audiovisual and information technology support for events;
Ability to clearly communicate and exchange information with co-workers, teammates, stakeholders, and other personnel, as required;
Experience with multiple virtual meeting platforms;
Experience with managing budgets and producing detailed reports;
Proven ability to work with a blended local and virtual team of project managers, writers, technical developers, social media specialists, and graphic designers;
Project Management certification;
Familiarity with and experience in a nonprofit or legal environment;
Culturally open-minded, flexible, and open to suggestions and opinions, with a passion for continued personal and team growth;
Conversational exposure to multiple languages to aid NCVLI’s continued efforts toward inclusivity;
Experience ensuring accessibility of events.
PHYSICAL REQUIREMENTS:
The job works primarily at a desk or is otherwise involved in activities requiring little lifting, climbing or working in tiring positions.
Standing, sitting, walking, grasping/gripping, reaching, repetitive hand movements (e.g., typing), seeing, talking, hearing.
NATURE OF POSITION
The position is a term-limited Independent Contractor position. The Contractor would not become an employee of NCVLI or Lewis & Clark College, where NCVLI is located. NCVLI shall have no responsibility to provide workers’ compensation insurance coverage for contractor, and contractor shall not be eligible for any wages, salaries, or benefits available to employees of NCVLI. Contractor can work remotely and would be required to provide their own computer and internet service. If contractor is local to Portland, Oregon, Contractor will have access, at no cost, to office space periodically throughout contract. Independent Contractor will not be obligated to use these resources, however, and can continue in a remote capacity. Independent Contractor will be expected to regularly participate in NCVLI staff meetings remotely. Subject to the reasonable operating requirements of NCVLI, Independent Contractor shall retain the exclusive right to control the means and manner by which the work is performed but will be expected to work closely with NCVLI staff to advance NCVLI’s mission and ensure all timely implementation of project deliverables. Independent Contractor should have the ability to travel to Portland, Oregon and work outside of the home office from May 18-22, 2025 as travel may be required to the event depending upon funds.
