Accounting Assistant
Job Summary: The Accounting Assistant is responsible for the execution of all bookkeeping-related activities, processing and verification of supporting documents to validate the propriety of receipts and disbursements transactions, acquiring full understanding of the Group’s accounting systems, policies and procedures to support the proper recording and reporting of financial transactions.
Essential Duties and Responsibilities: The Accounting assistant may be tasked to provide accounting functions in any of the following areas:
Accounts Payable
Handle invoice data entry; review invoices for accuracy and proper account coding for payment processing
Match invoices against duly approved purchase orders/contracts/agreements and ensure approval matrix are adhered for approval of disbursements and check processing
Ensure completeness of supporting documents
Upload documents as may be necessary into the shared accounting folder and establish appropriate link into the accounting system for proper access
Accounts Receivable
Handle invoice data and cash receipts entry to facilitate customer billings and collections
Prepare/generate/reconcile customers/tenants’ statements of accounts
Inventory Accounting
Maintain accurate records of inventory including the valuation of inventory, recording of inventory transactions
Reconcile inventory accounts by researching and correcting discrepancies
Prepare journal entries and maintain ledgers to support the accurate recording of transactions
Assist with month-end close by preparing necessary accruals and analyzing inventory activity
Assist in the conduct of physical inventory and cycle counts, and reconcile results to system records
Investigate and resolve issues with incorrect or missing data in the inventory system
Maintain up-to-date knowledge of generally accepted accounting principles and inventory valuation methods
Cost Accounting
Assist in the determination and update of cost standards for materials and labor
Assist in the update of product prices
Update other relevant data in the Company’s accounting system to ensure accuracy of recorded cost of sales
Financial Accounting
Obtain an understanding of the various modules of the Group’s accounting system; assist in the preparation of reports and account schedules; maintain up-to-date knowledge of generally accepted accounting principles, practices and inventory valuation methods
Prepare general journal entries as may be necessary to record adjustments and accruals
Perform reconciliations of general and subsidiary ledger accounts
Support month-end and year-end closing processes
Bank reconciliations of various companies’ bank accounts
Assist in the execution of audit by the Group’s external auditors
Perform such other finance- and accounting-related tasks as may be assigned from time to time.
Job Requirements:
Associate or Bachelor’s degree in accounting, business administration, or related field
Preferably with proficiency in Microsoft Excel, with aptitude to learn new software and systems
Detail-oriented.
