The Facilities Assistant plays a key role in maintaining facility functionality, coordinating repairs, and ensuring all spaces remain safe, organized, and operational. This role works with internal teams and external service providers to support building operations in a dynamic environment.Responsibilities:Monitor and respond to facility work orders through a computerized maintenance management system (CMMS).Coordinate routine maintenance, repairs, and inspections for building systems, including HVAC, electrical, plumbing, and lighting.Assist in ensuring compliance with safety standards, building codes, and operational procedures.Support vendor scheduling, access coordination, and service follow-up to ensure timely completion of maintenance tasks.Conduct regular walkthroughs to identify maintenance needs, safety concerns, and cleanliness standards.Maintain inventory of facility supplies, equipment, and maintenance materials.Assist with space setup, office moves, and workstation reconfigurations as needed.Document maintenance activities, service logs, and equipment records with accuracy and consistency.Support emergency response procedures and escalate urgent facility issues appropriately.Collaborate with security, operations, and administrative teams to maintain smooth facility operations.Qualifications:Associate degree or higher preferred in facilities management, business administration, or related field.3+ years of experience in facilities support, building maintenance coordination, or property operations.Experience using CMMS platforms or similar maintenance tracking systems.Working knowledge of building systems, including HVAC, electrical, plumbing, and fire safety systems.Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.Familiarity with OSHA safety standards and general workplace safety compliance requirements.Ability to read and interpret maintenance documentation, service manuals, and facility layouts.Experience coordinating with external vendors, contractors, and service technicians.Basic understanding of inventory tracking and procurement processes for maintenance supplies.
