Position summary: We are seeking a detail-oriented and organized Intern to manage and maintain company records and files in a systematic manner. The Intern will be responsible for sorting, organizing, filing, retrieving, and digitizing documents and records. The ideal candidate should have strong organizational skills, the ability to maintain confidentiality, and a keen eye for accuracy.Key Roles/ResponsibilitiesOrganize and maintain physical and electronic filing systems.File documents accurately according to established procedures.Retrieve files as requested by employees or management.Scan and digitize paper documents; properly label and store them in electronic databases.Perform routine file audits to ensure accuracy and completeness.Protect sensitive and confidential information in accordance with company policies.Create and update file indexes or logs for easy tracking.Assist in archiving old files and preparing documents for off-site storage or destruction.Respond to file and document inquiries in a timely manner.Perform general office duties such as photocopying, faxing, and mailing when needed.Required Education, Experience, And QualificationsHigh school diploma or equivalent required.Proven experience as an Intern or in a related clerical role is a plus.Familiarity with office equipment and filing systems.Proficient in Microsoft Office Suite (Word, Excel, Outlook).Strong attention to detail and organizational skills.Ability to maintain confidentiality and handle sensitive information.Basic knowledge of data entry and document management systems.Ability to lift and move file boxes up to [50] lbs (if applicable).Working ConditionsProlonged periods sitting at a desk and working on a computer.Must be able to lift 15 pounds at times.Positions self to install equipment, including under desks.Moves throughout the building to access files.Must be able to comprehend and follow written and oral instructions.Must be able to complete tasks even with frequent interruptions.Must be able to use discretion and independent judgment as needed.Must be able to speak clearly on the phone and to fellow workers.This job description should not be interpreted as an exhaustive list of responsibilities or as an employment agreement between the employer and the employee.
