Daily ResponsibilitiesMonitor and respond to incoming emailsReview online bank accounts for any suspicious or unusual activityMaintain accurate financial records by tracking all incoming and outgoing transactionsWeekly ResponsibilitiesEnter employee timesheets into payroll system (e.g., QuickBooks)Review service tickets and request corrections when necessaryVerify accounts payable invoices against purchased itemsReview and organize billing documentation, including use tax, fixed assets, vehicle records, and employee tools/filesEnter equipment model and serial numbers into ESC systemMonthly ResponsibilitiesPrepare and submit state and county payroll tax filingsMaintain spreadsheets and process union benefit payments (Plumbers SMW)File and pay sales and use taxes onlineReview and verify credit card statement codingUpdate BCRC spreadsheet for status verificationGenerate general ledger journal entries (e.g., Horizon PM costs, MMA interest)Track wages for insurance auditsMaintain certificates of insurance (COIs) for subcontractorsUpdate customer tax exemption formsReconcile bank statementsQuarterly ResponsibilitiesProcess FUTA and SUTA tax paymentsReconcile and balance payroll tax reports (Form 940)Compile and prepare financial reports for the accountantAnnual ResponsibilitiesUpdate employee wage and benefits informationReview and renew HVAC and plumbing contractor licenses and bondsOrganize and archive year-end files; prepare new filing systemsOrder and process W-2 formsPrepare and review 1099 tax filingsDevelop customer appreciation lists and track prior recipientsPrepare mailing lists for holiday cardsCoordinate ordering of holiday gifts (e.g., baskets, toffee, cards)BenefitsMedical/Dental/Vision401KPTORequirementsQuickBooks or Sage experienceUnion payroll experienceAccounting or finance degree preferredPrevious accounting experience Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
