Job Description
The Special Events Specialist will directly report to the Executive Director of Special events providing support on all Special Events. Includes assisting to coordinate all aspects of event planning and execution as assigned by our internal customers and executive management while maintaining working relationships with vendors. This position includes office management and administrative tasks.
Job Responsibilities
Assist Executive Director, Assistant Director, and Managers to plan, coordinate and implement events
Perform a variety of routine and non-routine assignments for events
Checks and processes Expense Reports
Submit HotSos requests as needed: shred bin removal weekly/biweekly, general Engineering maintenance & Public Area requests
Purchasing
SWS Orders - periodically check supply levels and order as needed (i.e., water, coffee cups, plastic
cups, cutlery, tissue, copy paper etc.)
Office Max Orders - periodically check supply levels and check with team before ordering
Create Engineering project numbers
Provides specialized administrative support of a non-routine, non-repetitive nature to relieve and assist Executives of complex details and administrative duties (i.e., coordinates and maintains effective office procedures and efficient workflow; establishes and maintains harmonious working relationships with superiors, co-workers, subordinates, clients and suppliers).
Work as directed and complete all job-related tasks in the time frame that are assigned
Assist the Special Events Team with all clerical functions
Answer phones, take messages, file, run errands and make deliveries
Check office voicemail 2-3 times a week
Maintain Special Events e-mail inbox
Assist with gift assembly, credential assembly, event set-up, event registration, gift and ticket distribution, greet guests, ticket collection, seating guests and event clean up
Will be required to assist in the overall Management of all types of events including: Table Games, Poker, Slot Tournaments, Golf Tournaments, Resort Events, and Off Property ticketed events
Qualifications
Must be 21 years of age or older
Minimum of two (2) years of event planning experience or equivalent
Bachelor's degree or equivalent
Candidates must be able to handle a high-pressure environment
Detail-oriented and the ability to multi-task
Ensure confidentiality of all casino information
Work varied shifts, including nights, weekends and holidays
Work in a fast-paced, busy somewhat stressful environment
Maintain physical stamina and proper mental attitude while working under pressure, meeting deadlines and dealing effectively with guests, management team members and outside contacts
Professional appearance and demeanor
Requires advanced proficiency with MS Office (Outlook, Word Excel and PowerPoint)
Requires the highest degree of communication skills
Communicate effectively in English in both written and oral forms
A valid Nevada Gaming License is required and must be obtained before entering this position
