Assistant Manager - Referral Coordinators

OverviewThe Referral Coordinator Assistant Manager will assist the Referral Manager to oversee and manage the Referral team. Key responsibilities are listed below, however, this position may be asked to perform other duties and responsibilities as determined by management.Key Duties & Responsibilities:Supervises, trains, develops and oversees the Referral Coordinators teamServes as a liaison between the Referral Coordinators and Center AdministratorsPromotes patient retention by serving as a liaison between patients, PCP, Insurance companies and specialty providersResolves referrals-related concerns prior to a patient’s appointmentEnters referrals and documents communications, actions, and other data in the medical records systemHandles escalated customer service escalated mattersProvides support to clinical staff in order to facilitate the administrative components of clinical referrals for services providedProvides information related to referrals, short-term case work and case management services which may include client assessment, planning, patient education, advocacy and follow-upMaintains high quality by checking or monitoring data and referrals in a timely mannerAnswers questions regarding complex referrals from Referral Coordinators and communicates with them as neededWorks closely with the Center Administrators to update providers on Insurance requirements, guidelines and other pertinent information needed to process a referralRequests appointments from appropriate specialty providers; Verifies accurate insurance informationFollows up on all referrals and maintains accurate trackingObtains ongoing knowledge, documentation, and updates of appropriate referral resources, required forms and key contact personsInsures client-patient confidentialityAssists the Referral ManagerSupervisory Responsibilities:Trains new employeesConducts team meetings to disseminate information to the teamCompletes performance evaluations reviews for the Referral teamRequired Skills/Abilities:Excellent verbal and written communication skillsExcellent customer service skillsThorough understanding of services offered to members. Excellent organizational skills and attention to detailProficient with Microsoft Office Suite or related softwareEducation and Experience:A high school diploma or equivalent is required. Associate degree in Business, Business Administration, HealthCare Administration, or related field is preferred. Minimum requirement of three years of work experience with referrals, or related medical office work, with a minimum of one year in supervisory capacity.Physical Requirements:Prolonged periods of sitting at a desk and working on a computerMust be able to lift up to 10 pounds at timesTravel to other medical center worksites as needed.
