Surgical Medical Assistant (ENT / Office-Based Procedures)Position SummaryWe are seeking a highly organized, detail-oriented, and motivated Surgical Medical Assistant to join our busy multi-physician ENT practice. This role will primarily support in-office surgical and procedural care for five ENT surgeons performing advanced office-based procedures including sinus surgery under local anesthesia, ultrasound-guided head and neck needle biopsies, and thyroid radiofrequency ablation (RFA).The Surgical MA will play a central role in coordinating patient care before, during, and after procedures while ensuring procedural rooms, instruments, equipment, and supplies are maintained at the highest standards. The ideal candidate is proactive, calm under pressure, excellent with patient communication, and thrives in a fast-paced procedural environment.Essential Responsibilities:Surgical & Procedural CoordinationCoordinate scheduling of office-based surgical procedures and advanced ENT interventionsObtain and manage insurance prior authorizations for procedures, equipment, imaging, and disposablesCommunicate directly with patients regarding:Pre-operative instructionsMedication managementArrival times and expectationsPost-operative care instructionsFollow-up appointmentsEnsure all required consents, documentation, imaging, and laboratory results are completed prior to proceduresAssist physicians and physician assistants during office-based surgical procedures as neededProcedure Room & Equipment ManagementPrepare procedure rooms prior to casesSet up, organize, and sterilize surgical instruments and procedural equipmentClean and turnover procedural rooms efficiently between casesMaintain inventory of:Surgical instrumentsDisposable suppliesMedicationsUltrasound suppliesRFA equipment and accessoriesTrack supply usage and proactively reorder inventory to avoid shortagesCoordinate with medical device and equipment representatives regarding supplies, equipment maintenance, and troubleshootingPatient Care & Follow-Up:Conduct pre-operative and post-operative patient outreachObtain and document patient surveys and outcomes dataFollow up with patients after procedures to assess recovery and address concernsEscalate clinical concerns appropriately to physicians or physician assistantsProvide compassionate, professional, and responsive patient communication at all timesTeam CollaborationWork closely with physicians, physician assistants, nurses, front desk staff, and administrative teamsAssist in maintaining efficient procedural workflow across multiple providersSupport quality improvement initiatives and patient experience effortsQualifications:Certified Medical Assistant (CMA/RMA) preferredPrior experience in ENT, surgery, procedural medicine, interventional radiology, dermatology, pain management, or similar procedural specialty strongly preferredExperience with surgical scheduling and insurance prior authorizations preferredStrong organizational and multitasking abilitiesExcellent communication and interpersonal skillsAbility to work efficiently in a high-volume clinical environmentComfortable handling instruments, procedural equipment, and sterile suppliesProficiency with electronic medical records (EMR/EHR)Preferred SkillsFamiliarity with:Office-based sinus proceduresUltrasound-guided proceduresRadiofrequency ablation technologiesSterile technique and procedural workflowsExperience managing surgical inventory and vendor relationshipsAbility to anticipate physician and procedural needs proactivelyPhysical Requirements:Ability to stand for extended periodsAbility to lift and move procedural equipment and supply boxes as neededManual dexterity sufficient for instrument handling and procedural assistance.Work EnvironmentFast-paced outpatient ENT specialty practiceFrequent interaction with surgical patients and multidisciplinary staffExposure to procedural and surgical environments under local anesthesiaCompensation & BenefitsCompetitive salary based on experienceHealth, dental, and vision benefitsPaid time off and holidaysRetirement plan eligibilityOpportunities for professional growth and procedural specialization
