Job Summary We are seeking a detail-oriented Data Entry Representative to join our team. This positiion is responsible for accurately encoding, updating, and maintaining service-related data, including work order schedules, job details, customer payments, and job confirmations. This role supports the Service and Operations teams by ensuring accurate documentation of installation, repair, and preventive maintenance services, including air conditioning cleaning for customers. Key Responsibilities Enter and update work order schedules for AC installation, repair, and cleaning services Encode detailed job information, including customer details, service type, assigned technicians, and job status Record and verify service payments, deposits, balances, and payment confirmations Confirm completion of jobs (installation, repair, and AC cleaning) and update system records accordingly Coordinate with Service Admin, Technicians/ helpers, and Sub-Contractors to validate job details and schedules Review data entries for accuracy, completeness, and consistency Correct discrepancies and follow up on missing or unclear information Generate service-related reports (daily schedules, completed jobs, pending jobs, and payment summaries) Maintain confidentiality of customer and company information Ensure proper filing and organization of service documents and records Perform other administrative or data-related tasks as assigned Requirements High school diploma or equivalent required Experience in data entry, service coordination, or administrative support preferred Strong typing skills with high accuracy Proficiency in Microsoft Excel, Word, and basic office systems Ability to handle confidential customer and financial information Strong organizational and time-management skills Ability to work independently and meet daily deadlines Knowledge of QuickBooks is a plus Skills & Competencies Excellent attention to detail and accuracy Strong coordination and follow-up skills Basic understanding of scheduling and service operations Numerical accuracy for payments and billing records Clear communication and teamwork skills Team-oriented with the ability to work independently when needed This job description should not be construed to imply that these requirements are the exclusive standards of the position.
