Essential Duties and ResponsibilitiesFinancial Management & Operations
Accounts Payable: Efficiently manage full-cycle accounts payable. Validate, code, and upload vendor invoices to Bill.com, ensuring proper classification of expenses. Process 1099s for our Teaching Artists and vendors. Manage credit card maintenance by uploading receipts and properly coding in DIVVY.
Accounts Receivable: Oversee student and partner program billing. Generate and distribute invoices, track incoming payments, and systematically manage collections.
Revenue Tracking: Accurately record and reconcile donor pledges, grants, and deposits utilizing Bloomerang and Stripe.
Payroll & Reimbursements: Execute bi-weekly payroll and employee expense reimbursements while maintaining airtight documentation for month-end reconciliation.
Compliance, Reporting & Strategy
Financial Compliance: Maintain precise, compliant financial records for all transactions, grants, and program expenses in accordance with non-profit accounting standards.
Month-End & Year-End Support: Partner closely with the CPA during monthly closeouts by resolving account discrepancies and compiling necessary statements. Collaborate with the external accounting firm to prepare documentation for the annual audit and IRS Form 990 filings.
Budgetary Oversight: Monitor active budgets to ensure complete alignment with organizational goals and specific programmatic outcomes.
Impact Metrics: Support the development and execution of data-tracking systems that tie financial metrics to program outcomes, showcasing mission-driven results.
Non-Profit Compliance: File necessary corporate and regulatory paperwork to maintain valid non-profit status across Maryland, Washington DC, and Virginia.
Administrative & Program Support
Family & Participant Liaison: Guide participant families through third-party payment options, streamlining the receivable process with empathy and clarity.
Development & HR Assistance: Assist the Development Director with grant tracking and reporting. Support the administration of HR paperwork for onboarding newly hired employees. Process the necessary paperwork for background checks
Cross-Functional Collaboration: Partner with the management team on high-priority special projects and handle other duties as assigned.
Qualifications
Experience: Minimum of 5 years of dedicated bookkeeping experience, with a strong preference for individuals from a non-profit background.
Software Proficiency: Advanced knowledge of QuickBooks Online and core accounting methodologies. Familiarity with Bill.com and Divvy is highly preferred.
Education: Associate’s degree or higher in Accounting, Finance, or a related field preferred.
Communication & Drive: Exceptional verbal and written communication skills. Proven ability to work independently, manage tight deadlines, and thrive within a diverse team environment.

Pay: $26.00 - $30.00 per hour
