Proposal Coordinator

Location Options: Grand Forks, ND; Maple Grove, MN; or Denver, COAE2S is seeking a Proposal Coordinator to join our growing Proposals team. This role is ideal for someone who has a passion for driving the proposal process, managing multiple deadlines, and crafting compelling, well‑designed proposals that help win meaningful engineering projects.At AE2S, proposals are not just about formatting. They’re about storytelling, strategy, and collaboration. You’ll work across disciplines, partnering closely with technical staff, and play a key role in positioning AE2S for success.As a Proposal Coordinator, you’ll own proposals from start to finish, typically juggling 2–4 active pursuits at a time with turnaround windows ranging from 2–4 weeks.ResponsibilitiesLead and manage the proposal process from kickoff through submission, ensuring deadlines, quality standards, and compliance requirements are metSupport and guide the Go/No‑Go process, assisting business leaders in making informed pursuit decisionsFacilitate proposal kick‑off meetings and coordinate input from Proposal Managers, SMEs, and reviewersDevelop outlines, schedules, and milestone plans to keep proposal teams on trackReview RFPs/RFQs to ensure all requirements are addressed and incorporatedCoordinate technical content, resumes, project descriptions, and supporting materialsUse Adobe Creative Suite to layout proposals, create graphics, and maintain brand standardsCollaborate with the team on pursuit strategy, differentiators, and positioningSupport interview preparation, including interview strategy, presentations, and leave‑behind materialsHelp maintain proposal archives, CRM entries, and master resume filesStep in to support team members during peak deadlines—this is a true team‑first environmentBasic QualificationsBachelor’s degree in Communications, Marketing, Journalism, English, or related field required. Proficient in Adobe InDesign, Illustrator, and Photoshop, as well as Microsoft Word, PowerPoint, and Excel. Ability to be flexible, maintain a positive attitude, and work collaboratively to develop a team environment. Excellent communication, interpersonal, and organizational skills. Demonstrated attention to detail with strong grammar, spelling, composition, and proofreading abilities. Basic understanding of design principles. Ability to multi-task, work under the pressure of a deadline-driven environment and occasionally work over-time to meet client needs. All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations. Preferred QualificationsProficient with CRM (Deltek, Vantage Point preferred). 2-5 years’ experience with proposals, ideally in an AEC firm. Strong interest in learning about the engineering industry.
