The Town Club Accounts Receivable Clerk & Office Assistant The Town Club is a welcoming, member-owned, private women’s club in Portland, Oregon with long-tenured staff. Since 1928, the Club has greeted members and their guests in an atmosphere of dignity and graciousness. As a social club, members enjoy lunch and dinner, as well as gathering for a variety of other activities. A robust calendar of speakers and programs is offered throughout the year. Position Summary The Accounts Receivable Clerk/Office Assistant serves as a key administrative and operational support role within a private, nonprofit women’s club. This position requires professionalism, discretion, strong computer proficiency, and the ability to multitask in a dynamic, member-focused environment. This position supports executive leadership, assists management, and plays an essential role in maintaining the club’s culture and high standards of member satisfaction. Key Responsibilities Administration · Provide direct administrative support to the General Manager, Board of Governors, and management team · Answer and direct incoming phone calls, respond to emails, make reservations, and assist members in an efficient and professional manner · Prepare correspondence, reports, and internal communications, to include transcribing and producing committee meeting minutes · Prepare and maintain records, ensure orderly filing, and perform general administrative tasks · Facilitate with preparation of club events and related materials · Support management with daily operations and special projects, as needed · Assist with benefit administration and respond to employee inquiries Payroll, Financial & Receivables Support · Execute bi-monthly payroll and maintain payroll records · Administer ACH payments for member accounts · Data entry of member payments and miscellaneous charges to accounts Payroll, Financial & Receivables Support (cont.) · Check daily POS entries, make corrections and adjustments, if necessary, and post charges to member accounts · Prepare monthly member statements and print and email monthly billings in coordination with the Communications Associate · Respond and assist members with billing inquiries in a timely manner · Assist outsourced bookkeeper with accounts payables and vendor coordination Member Relations · Ensure member satisfaction through prompt, courteous, and solution-focused service · Support the welcoming atmosphere and traditions of the club in all member interactions Qualifications & Requirements · Experience as an accounts receivables clerk or a similar administrative role · Strong computer skills, proficiency in Office 365, payroll software, and database management; knowledge of private club membership software a plus · Ability to multitask, prioritize, and manage time efficiently · Exhibit a friendly, professional demeanor with a genuine respect for etiquette, tradition, and club culture · Adherent to club policies, including dress code · Experience working in a nonprofit, private club or membership-based organization a plus Skills · Maintain a high level of discretion and confidentiality at all times · Excellent written, verbal, and interpersonal communication skills · Strong attention to detail, organization, and accuracy is essential · Ability to work both independently and collaboratively while fostering a positive, team-oriented environment · Adaptable, dependable, and service oriented · Maintain a positive can-do attitude Compensation & Benefits · Full-time, Monday – Friday · Salary commensurate with qualifications and experience · Medical, Dental, Vision and Life, 401(k), PTO, sick pay, discretionary bonus Please email resume and cover letter to: contact@thetownclub.org | No Phone Calls Please Job Type: Full-time Pay: $27.00 - $30.00 per hour Expected hours: 40 per week Benefits: 401(k) Dental insurance Health insurance Life insurance Paid sick time Paid time off Vision insurance Education: High school or equivalent (Required) Experience: business operations administrative: 3 years (Preferred) Work Location: In person
