Location: Amarillo, TXJob Title: Program Controls CoordinatorCareer Level: Intermediate Staff MemberOrganization: Program & Project Planning (50993945)Job Specialty: Production ControlWhat You'll DoThe Program Controls Coordinator provides administrative and technical support to the Project Controls and Estimating organization supporting Minor Construction Projects (MCP). This role is responsible for coordinating work authorization, supporting cost and schedule reporting efforts, maintaining project documentation, and assisting with project status reporting to leadership and customers. The position also supports onboarding coordination for new hires within the organization. This role reports directly to the Project Controls Director for MCP and Estimating Organization. The Program Coordinator plays a critical role in ensuring disciplined governance, documentation accuracy, and timely reporting across the MCP portfolio.Key ResponsibilitiesProject Controls & Reporting SupportPrepare, assemble, and compile monthly Project Status Reports (PSRs)Coordinate monthly PSR meetings with Project Controls and Management LeadershipMaintain project documentation and enforce version control standardsSupport preparation of reporting deliverables for leadership reviewsAssist the team in meeting weekly and monthly deliverables as directedWork Authorization (WA) CoordinationSupport the preparation, routing, and tracking of Work AuthorizationsMaintain WA documentation and ensure audit-ready recordsCoordinate with Program, Engineering, Project Controls, and Project Management to resolve discrepanciesMonitor approval routing and send reminders when aging exceeds established thresholdsTrack WA processing timelines and escalate delays as necessaryEnsure Work Authorizations are processed accurately and in a timely mannerAdministrative & Organizational SupportSupport onboarding coordination for new hires within the organizationCoordinate new employee system access requestsAssist with scheduling meetings, tracking action items, and maintaining internal logsSupport preparation of presentation materials for leadership briefingsDevelop and maintain the organization's SharePoint site and document structureSupport Process Workflow Management (PWM) electronic-flow (e-flow) document control processes related to Work Authorizations and Cost Estimating RequestsMinimum Job Requirements High School diploma: Minimum 4 years of relevant experience OR Associate degree in related discipline: Minimum 2 years of relevant experience Department of Energy (DOE) Order 426.2A RequirementsNot Applicable.Preferred Job RequirementsMinimum of 4 years of experience in project coordination, project controls support, administration, or program supportStrong organizational and document management skillsUnderstanding of project reporting and documentation practicesExperience supporting DOE or federally funded construction projectsFamiliarity with Work Authorization systems or project funding processesUnderstanding of basic project controls conceptsExperience supporting construction or project management operationsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint)Experience supporting cost, schedule, or project reporting environmentsAbility to manage multiple priorities in a deadline-driven environmentStrong written and verbal communication skillsCustomer-focused mindset with a collaborative and service-oriented approachWorking knowledge of software/tools such as SharePoint, PWM e-flow, Adobe Acrobat, Microsoft Office Suite, Project Controls Tools and Tools for Opportunities Performance Improvement through Communicaiton ( TOPIC)Core CompetenciesProactive problem solverStrong "can-do" attitudeExcellent cross-functional coordination skillsHigh attention to detail and documentation accuracyAbility to effectively manage demanding stakeholders in a fast-paced environmentAbility to operate effectively within a structured, compliance-oriented organization#JointheMission: Your Impact Starts HereAt Pantex, you won't just find a job—you’ll discover a career of purpose safeguarding national security through work performed nowhere else on Earth.
