Position: fulltime, Mon-Fri 7:30am-4:30pmSalary: $95,000 - $125,000 + incentive tied to incremental warranty recovery Job purpose The Warranty Program Manager is responsible for building, implementing, and managing a centralized warranty recovery program across a multi-OEM specialty trucking fleet. This role oversees the full warranty lifecycle for tractors, trailers, engines, and extended warranties, and serves as the primary point of accountability for all warranty recovery outcomes. The Warranty Program Manager works closely with Fleet Maintenance, Finance, dealers, and OEM representatives to ensure eligible warranty claims are identified, submitted, tracked, and recovered in a timely and accurate manner. Key objectives (First 1218 months) Increase annual warranty recovery from minimal levels to $34M+ annuallyAchieve 90%+ on-time claim submission within OEM windowsReduce warranty denial rates to below 10%Establish warranty recovery as a measurable financial KPI reported to executive leadershipBuild internal capability that is not dependent on dealers to "handle warranty" Duties and responsibilities Program Design & Ownership Design and implement a centralized warranty management program across all terminals and asset classesEstablish standardized warranty workflows, documentation requirements, and SLAsMaintain a complete inventory of active OEM, engine, trailer, and extended warrantiesServe as the single point of accountability for all warranty recovery outcomes Claim Management & Recovery Oversee submission, tracking, reconciliation, and appeal of all warranty claimsEnsure warranty eligibility is verified before repairs are completedReview repair orders for proper failure coding, labor standards, and documentationAggressively manage denied claims through formal appeal and OEM escalationTrack and reconcile warranty credits to repair orders and general ledger Dealer & OEM Relationship Management Act as primary warranty liaison with Peterbilt/Kenworth (PACCAR), Cummins, East Trailer and other trailer OEMsHold dealers accountable to performance expectations (cycle time, approval rate)Escalate unresolved issues through OEM regional and corporate channelsLeverage fleet size and purchasing volume to improve warranty outcomes Internal Training & Process Enforcement Train maintenance leaders, foremen, and technicians on warranty-eligible failures, required documentation standards, and proper diagnostic and failure code selectionEstablish "warranty champions" at major terminals (foreman or lead tech per location)Ensure part retention, photo requirements, and OEM procedures are followedIntroduce and enforce RO Quality Gate incomplete documentation = returned RO Financial Reporting & Metrics Produce monthly warranty performance reports for executive leadership including dollars recovered by OEM and asset class, recovery per truck/trailer, denial rates and root causes, and claim cycle times and agingPartner with Finance to align on GL treatment, accruals, and credit memo reconciliationIdentify trends and systemic issues impacting warranty eligibility or recovery Team Leadership Hire, train, and manage Warranty AdministratorsEstablish individual and team performance metrics tied to recovery outcomesBuild scalable processes to support fleet growth and acquisitions Company Benefits: Meritain Aetna (offer two different health plans)Company Sponsored HRA cardDental InsuranceVision Insurance (offer two plans)Colonial Supplemental Insurance Benefits (accident, medical bridge, disability, cancer)Unum Life InsuranceER Paid Life Insurance policy, 1x annual grossPet Insurance / Pet Discount ProgramEAP- Employee Assistance Program401K with Company 401K matchProfit Share ProgramPaid Time OffQualifications Qualifications 510+ years of direct warranty management experience at a truck dealer, OEM, or large fleetDemonstrated hands-on experience submitting and appealing warranty claims with PACCAR (Peterbilt/Kenworth), Cummins, and major trailer OEMsDeep knowledge of OEM warranty policies, failure codes, diagnostic documentation, and labor/flat-rate structuresProven success recovering denied or disputed warranty claims has won appeals, not just submitted claimsStrong working knowledge of maintenance and fleet management systems (TMT, TMW, Cetaris, etc.)Financial acumenunderstands warranty as a revenue protection functionWillingness to travel to terminals and dealer locations as neededMust pass post-offer, pre-employment drug test and agree to company's drug-free workplace policies Preferred qualifications Experience managing warranty programs for 100+ tractorsPrior dealership warranty leadership or OEM field experienceCan name OEM escalation contacts and understands flat-rate and failure coding dynamicsExperience with extended warranty programs and dealer-sponsored plansFamiliarity with multi-terminal or multi-state fleet operations Safety in the workplace Employees should take reasonable care of their health and safety no matter where they are or what they are doing.
