Position OverviewThe Equipment Coordinator supports the Equipment Manager and team with equipment billing, asset tracking, work orders, fleet coordination, and office operations. Working knowledge of basic bookkeeping, including billing, account reconciliation, and asset depreciation is required. This full-time, on-site role involves occasional travel to the Coburg office. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced, deadline-driven environment. Key ResponsibilitiesEquipment & Asset CoordinationMaintain and reconcile equipment and vehicle asset records.Open/close work orders and update preventative maintenance schedules.Coordinate licensing, inspections, maintenance, and repairs across projects.Manage GPS and telematics systems.Track damage reports and loss documentation.Process Bills of Sale as directed.Provide equipment information to the Coburg office and job sites.Billing & Financial SupportAllocate equipment expenses to jobs and support monthly billing.Reconcile invoices, fuel card activity, and asset-related transactions.Prepare equipment data and reports for monthly budget meetings.Identify and resolve billing or cost discrepancies proactively.Administrative & Operational SupportSupport the Equipment Manager with reports, spreadsheets, and documentation.Communicate with project teams regarding rental status, billing, and scheduling.Track tasks and deadlines, providing status updates.Manage calls, visitors, office mail, deliveries, supplies, inventory, and vendor relationships. Assist with travel arrangements and ensure work is completed accurately and timely.Required Qualifications Proficient in Microsoft Outlook, Word, PowerPoint, and Adobe.Advanced Excel skills.Working knowledge of basic bookkeeping, including billing, account reconciliation, and asset depreciation.Strong analytical and problem-solving abilities.Exceptional organizational skills, including managing conflicting requests in a deadline-driven environment.Adaptable and flexible to changing schedules, priorities, and operational needs.Self-driven, proactive, and highly organized with strong follow-through.Comfortable taking direction while also taking initiative and working independently.Strong written and verbal communication skills.Professional, courteous, and service-oriented.Ability to manage confidential information with integrity and discretion.Regular, reliable, on-site attendance. Preferred Qualifications Minimum of 5 years of administrative, accounting, fleet, or equipment experience.Construction industry experience.Experience with ViewPoint, HCSS, or similar construction management systems.Familiarity with fleet management and/or equipment rentals.Experience supporting budgeting or monthly financial reporting.
