Legal Administrative Assistant
Offit Kurman, an AmLaw 200 law firm, is seeking to hire a Legal Administrative Assistant for our Atlanta, GA office. This role will support a group of litigation attorneys in their client onboarding needs, manage multiple busy calendars, and help in the production of various legal documents.Responsibilities: Scheduling client meetings, managing calendars for important dates, court notices, and deadlinesOpening new client files, drafting correspondenceResponsible for all administrative stages of client matters from the initial intake through document preparation, final documents, client follow-up and coordination of billingRegular client and court telephone and email communicationManage incoming and outgoing mailing needs such as USPS, Certified, FedExScanning, copying, and organizing legal documentsComplete check requests, attorney reimbursement forms, deposit requests, credit card reconciliation.Perform a variety of document productions tasks, including collection, hosting, review, redaction, bates-stamping, duplicating, and indexingCreate and organize materials for hearings, such as casebooks and briefing binders.Assists with preparation of and filing/serving of court documents by mail or electronically via File & ServeXpress and PACER CM/ECF.Preparation of general correspondence including composing enclosure letters and memos as requestedWitnessing and notarizing documentsOrganizing and safely-handling client personal documents, financial asset information, and original documents. Keep file up to date and maintain and organize both the physical files and e-files in NetDocuments. This is a daily expectation. Understand and abide by attorney subfolder set up and follow correct document naming protocolAttorney credit card reconciliation management on a weekly basis.Work with the Accounting team to pull invoices, review trust and payment history, outstanding balance, etc.Scanning physical file records to SharePoint or NetDocumentsSkills and Qualifications:Bachelor’s degree or equivalent3+ years of experience in legalPrior experience with commercial litigation and/or construction litigation support is a plusWorking knowledge of GA courts rules and procedures and Federal Court rules and procedures is a plusPrevious support throughout all phases of discovery, including document review, production and depositions. Experience with electronic discovery platforms is a plusHighly organized with ability to juggle multiple tasks in a fast-paced environmentAbility to complete tasks/projects efficiently and with exceptional attention to detailProficiency in Microsoft Office Suite, Adobe Acrobat, Excel, with the ability to quickly learn new softwareAbility to fluently navigate various electronic databases and document management systems.Excellent verbal and written communication skillsStrong research skills and proficiency in using various research tools, including Westlaw, PACER, and other court-related websites.Ability to work well independently as well as effectively within a team.General understanding of litigation procedures is required. Applicable knowledge of motions, discovery, evidence, litigation documentation, court rules and procedures, practices is idealThe position requires constant communication (via phone, email, and in person) with clients, attorneys, and courts. Quick turnaround expectation when communicating with attorneys – timely responses and acknowledgement of tasks. Available and reachable at all times.Strong production skills with ability to produce accurate work product when formatting documents, inputting data, editing, copying, scanning, and transmitting text, data, and graphics.Compensation is commensurate with experience.
