This role requires exceptional judgment, discretion, organizational sophistication, and the ability to anticipate needs in a fast-paced, complex environment. Additionally, this role will also support two other executives, the Chief Technology Officer and The Carolina Theater Executive. The ideal candidate is a seasoned executive assistant who thrives in supporting strategic leaders, managing competing priorities, and serving as a trusted partner to executive leadership.YOUR UNIQUE IMPACT | ROLES & RESPONSIBILITIESExecutive & Administrative SupportProvide comprehensive calendar management for the CFO, with supporting duties to the Chief Technology officer and The Carolina Theater Executive, including prioritization, coordination of internal and external meetings, and proactive conflict resolutionManage complex travel arrangements, itineraries, and expense reporting in compliance with foundation policiesServe as a primary point of contact for executive communications, exercising sound judgment and discretionPrepare, edit, and format executive-level materials including presentations, reports, briefing documents, and correspondenceTrack and follow up on action items, deadlines, and deliverables to ensure timely execution of executive prioritiesStrategic & Operational SupportSupport planning and logistics for board meetings, committee meetings, and senior leadership meetings, including agenda preparation and materials coordinationPartner with Finance, Technology, and other internal teams to facilitate cross-functional coordination and information flowAssist with budget tracking, vendor coordination, contract administration, and technology-related initiatives as appropriateMaintain organized electronic and physical filing systems, ensuring accuracy, confidentiality, and accessibilityCommunication & Stakeholder EngagementInterface professionally with board members, donors, external partners, auditors, consultants, and senior leadersDraft and manage sensitive communications on behalf of the CFO and CTORepresent the executives and the foundation with professionalism, tact, and diplomacyConfidentiality & ComplianceHandle highly confidential financial, personnel, and organizational information with the utmost discretionEnsure adherence to internal policies, governance practices, and nonprofit compliance standardsRequirementsWHAT YOU'LL NEED FOR SUCCESS: QUALIFICATIONSRequired7+ years of progressive experience providing executive-level support to senior leaders (C-suite or equivalent), preferably supporting multiple executivesDemonstrated experience working in complex organizations; corporate, foundation, or financial/technology environments strongly preferred. With the ability to organize and plan eventsExceptional organizational, time-management, and prioritization skills with proven ability to manage competing demandsStrong written and verbal communication skills with attention to detailHigh level of professionalism, discretion, emotional intelligence, and sound judgmentPreferredExperience supporting Finance, Technology, or Operations executivesExperience in organizing financial processes, month-end close and auditsFamiliarity with board governance processes and executive leadership teamsTechnical Skills & ToolsAdvanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)Comfort with collaboration and project tools (e.g., SharePoint, OneDrive, Smartsheet, Asana, or similar)Experience with expense management and travel systemsAbility to quickly learn new financial, technology, or enterprise systemsCore CompetenciesExecutive presence and confidenceAnticipatory problem-solvingStrong attention to detail with a big-picture mindsetAbility to work independently while collaborating effectively with senior leadership and peers
