Special Projects Manager

Position Summary:The Manager, Special Projects plays a critical role in supporting the Executive Team by driving high-impact, company-wide initiatives from concept through completion. This role ensures operational alignment, execution discipline, and visibility across strategic priorities while also maintaining key administrative support functions. This position is responsible for delivering five (5) impactful projects annually, with priorities identified and refined on a quarterly basis in alignment with company objectives. Projects may evolve throughout the year based on shifting business needs. Success is measured by the timely, effective execution of initiatives, clear communication, and strong alignment with executive leadership. In addition to project leadership, this role retains core responsibilities traditionally associated with an Executive Assistant, providing direct support to the CEO and broader Executive Team. Key Responsibilities: Project Leadership & Execution - Lead and manage all assigned special projects from initiation through completion - Define scope, timelines, milestones, and deliverables to ensure successful outcomes - Continuously evaluate and refine project priorities in alignment with company strategy - Maintain and manage the project pipeline using tools such as Monday.com or similar platforms - Provide consistent updates and visibility to the Executive Team Executive Team Support - Support the Executive Team (CEO, CFO, COO, CRO, and others) to improve efficiency and effectiveness - Coordinate meetings, initiatives, and follow-ups to ensure alignment and execution - Prepare agendas, board decks, presentations, and executive communications - Assist the CEO with special assignments including meetings, research, new ventures, and travel coordination Data, Reporting & Analysis - Partner with Business Intelligence teams to prepare and analyze reports and presentations - Conduct research using internal systems and external sources to support decision-making - Ensure materials are prepared in advance of meetings with actionable insights Operations & Administrative Support - Manage calendars, appointments, and logistics for executive leadership - Organize and maintain documentation across systems such as HubSpot, Paylocity, and SAP Business One - Handle confidential and sensitive information with a high level of discretion - Support vendor coordination, contractors, and external partners across company initiatives Events & External Engagement - Coordinate and support trade shows, events, and executive meetings - Travel occasionally to support company initiatives and leadership needs Additional Support - Provide ad hoc support as needed, including personal or operational assistance to enable executive productivity - Take on additional duties and responsibilities as assigned Qualifications: - Strong project management and organizational skills - Ability to manage multiple priorities in a fast-paced environment - Exceptional attention to detail and follow-through - Strong written and verbal communication skills - High level of discretion and professionalism - Proficiency in business tools and systems (CRM, ERP, project management platforms) Preferred Experience: - Experience supporting executive leadership teams - Background in project management, operations, or business strategy - Familiarity with cross-functional coordination and process improvement initiatives Success Metrics (KPIs): - Successful delivery of 5 high-impact projects annually - On-time completion of project milestones and deliverables - Executive Team satisfaction and alignment - Quality and timeliness of reporting, presentations, and communications - Improved operational efficiency across supported functions Professional Certification Required: - Must obtain Project Management Professional (PMP) certification by May 2026 - The Company will cover all associated training and certification costs
