The role prioritizes, organizes, coordinates, and oversees the Foundation's administrative and office details, tasks, and functions, ensuring effective office operations while maintaining confidentiality. The position acts as the first point of contact for most matters related to the President & CEO's office and serves as a liaison to the Foundation Board of Directors and other executives, faculty, staff, and external contacts. The Executive Assistant Senior may also coordinate development milestones, support programs assigned to the President & CEO, and oversee project initiatives.Essential Functions40% – Executive & CEO/President Support and Board LiaisonManage complex executive calendars, schedule meetings with internal and external stakeholders, and arrange domestic and international travel.Prepare and maintain board materials, including agendas, presentations, correspondence, minutes, and supporting documentation, ensuring accuracy, confidentiality, and timeliness.Act as the first point of contact for the Foundation leadership team, exercising independent judgment to prioritize communications and resolve matters within established authority.Maintain confidential records related to board activities, donors, and prospects, update Raiser's Edge NXT, and keep the Chancellor's Goals dashboard up to date.Process MOUs, contracts, and grant applications on behalf of leadership.Keep executives informed of office activities, project status, deadlines, and emerging priorities.Interpret and apply policies and procedures, and prepare correspondence and memoranda independently or from oral instruction, often involving sensitive or confidential information.30% – Executive Team, Resource Development, and Event SupportSchedule and facilitate monthly Resource Development Council meetings, preparing agendas, presentations, communications, reports, surveys, and assisting with special projects.Support annual retreats, fundraising initiatives, and development activities, and assist with event coordination by managing logistics, technology needs, space planning, and related arrangements.Plan and facilitate high-level meetings, conferences, and events; serve as a central point of coordination for executive projects; conduct research and data compilation to support executive reports and strategic decision-making.Track action items, timelines, and deliverables to support operational and strategic objectives.20% – Office Operations, Facilities, and Administrative CoordinationMaintain the appearance and functionality of the office; manage office supplies, equipment, vendor coordination; process and distribute mail; and greet Foundation guests.Coordinate staff meetings, room scheduling, and shared calendars; act as liaison between the Foundation office and district departments, educational institutions, external organizations, and the public.Maintain confidential files and records related to board, district, and sensitive organizational matters; assist with onboarding and coordination of new employees; and oversee administrative office policies, recommending updates or improvements as needed.Identify opportunities to enhance office systems, workflows, and administrative processes to improve efficiency and effectiveness.10% – Special Projects and Other DutiesAssist with action plans, monitor progress, track resources, and support process or system improvements as needed.Perform special projects and other duties as assigned to support Foundation leadership, strategic priorities, and the overall mission.Minimum QualificationsBachelor's Degree in business administration from a regionally accredited institution and five (5) years of varied and increasingly responsible secretarial or administrative support experience, including public contact, with a minimum of two (2) years supporting a C-suite executive. An equivalent combination of degree and directly related full-time work experience that allows successful performance of the essential duties may also be considered.Desired QualificationsFive or more years of experience as a senior-level Administrative/Executive Assistant supporting a C-level executive, preferably the CEO.Five or more years of non-profit board management experience.Five or more years of experience coordinating, executing, and evaluating projects and activities.Five or more years of experience working with a diverse group of people, internally and externally.Excellent communication skills as evidenced in the cover letter and resume.Documented experience developing and delivering presentations.Intermediate experience with Microsoft Office Suite.One year of full-time relevant MCCCD experience during the previous two years.Special Working ConditionsMay require travel to one or all of the ten Maricopa Community Colleges to assist or train staff.May require some evening and weekend hours.How to ApplyApplicants must submit a cover letter and resume demonstrating how they meet the minimum and desired qualifications.
