Work requires comprehensive knowledge of the organization or program where assigned, skill in working with issues related to policy, procedures, and confidential matters, and involves intensive participation in the work of the supervisor. Incumbents exercise discretion and frequent independent judgment and action with considerable consequence of error.Job DutiesMonitors budget allocations and provides general administrative support to the Bursar OfficeResolves scheduling problems among assigned personnel and with other units. Directs work flow to accommodate peak periodsOversees implementation and administration of policies and procedures for assigned unitAssures quality control and makes recommendation for improvement of work methods or technology to increase productivityAssists in developing unit production goals and in developing unit budgetOversees the assembly, compilation, and routine processing of data and records for reports, special studies, filing, and storage. Recommends manual and automated methods and proceduresPrepares reports and correspondence related to unit operationsOperates office equipment such as personal computers, typewriters, calculators, facsimile machines, and photocopiersEstablishes and evaluates methods and procedures for processing data and materials and for setting up and maintaining manual and automated filing systemsGreeting office visitorsRequested Minimum QualificationsEducation: A High School Diploma or GED is required.Experience: At least five years progressively responsible clerical work to include at least one year in supervisory capacity.Other: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.Required Knowledge/Skills/AbilitiesOther Preferences for Consideration Knowledge, Skills & AbilitiesComprehensive knowledge of and skill in applying office practices and procedures, principles of office management and supervisionThorough knowledge of business English, grammar, spelling and punctuationSkill in planning and coordinating clerical work; in supervising, motivating and training clerical personnel; in interpreting and applying departmental policies and proceduresSkill in operating manual and automated office equipment including personal computers and related softwareAbility to compose correspondence and preparing reports; in performing mathematical computations; in establishing clerical methods and proceduresNegotiate and resolve scheduling and procedural problems.Ability to communicate effectively both orally and in writing; to establish and maintain effective work relationships.
