Licensed Transaction Coordinator & Client Intake Specialist

Apply now!Responsibilities:Core ResponsibilitiesManage all administrative aspects of buyer and seller transactions from executed contract through closing, with transaction coordination always as the top priorityTrack and manage all critical deadlines, contingencies, inspections, appraisals, and closing timelinesReview contracts and transaction documents for completeness, accuracy, required signatures, and datesCoordinate communication between agents, clients, lenders, title companies, inspectors, and other transaction stakeholdersSchedule inspections, appraisals, and closing appointments; track inspection responses and repair documentation (agents handle negotiation)Ensure all escrow-related documentation is received and completed, including title, appraisal, and mortgage loan documentsEnter, maintain, and update all client and transaction information in the CRM and transaction management systemSubmit complete and compliant transaction files to the office broker and maintain accurate records for brokerage and state complianceProvide proactive updates to clients regarding transaction status, timelines, and next steps to ensure a smooth closing experienceClient Intake & Lead Routing SupportAnswer inbound buyer and seller inquiry calls in a professional and timely mannerGather structured intake information, including timeline, motivation, property details, and financing statusAccurately document all intake information in the CRMRoute qualified leads to agents based on established team guidelinesSchedule appointments when criteria are met and hand off to agents appropriatelyQualifications:A valid Real Estate License is required for this jobPrevious experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valuedHigh school diploma required; Associate's degree preferredApplicants must possess exceptional organizational and verbal and written skillsDriven by a desire to provide excellent customer service and a great customer experienceAbout Company:Our mission is to provide a first-class experience and genuinely help people.
