We combine advanced production capabilities with deep postal expertise to maximize delivery efficiency and minimize costs for our clients.As we continue to grow, we’re looking for a Direct Mail & Postal Operations Manager to take ownership of the data-to-mail pipeline and postal strategy behind our campaigns.Position OverviewThe Direct Mail & Postal Operations Manager is responsible for managing the workflow between customer data intake and final mail induction—ensuring accuracy, compliance, and optimal postage outcomes.This role is heavily focused on data coordination, USPS compliance, and postage optimization. You will work cross-functionally with data processing teams, internal operations, and third-party logistics partners to ensure campaigns are executed efficiently and cost-effectively.Key ResponsibilitiesData & Workflow ManagementReceive and review customer data files for direct mail campaignsCollaborate with internal data processing teams to ensure proper formatting, cleansing, deduplication, and presortingValidate data integrity and ensure readiness for production and mailingUSPS Compliance & Mail PreparationEnsure all mail files and campaigns meet USPS regulations and requirementsOversee proper mail classification, presort standards, and documentationStay up to date on USPS rules, promotions, and industry changesPostage Strategy & OptimizationAnalyze and determine the most cost-effective postage strategies for each campaignMaximize postal discounts through presort, commingling, drop shipping, and other techniquesIdentify opportunities to reduce postage spend while maintaining delivery timelinesPostage Statements & DocumentationGenerate, review, and submit postage statements and required USPS documentationEnsure accuracy in postage calculations and billingCoordinate with USPS and internal teams on approvals and submissionsLogistics & Vendor CoordinationWork with third-party postal logistics and freight providers to optimize mail transportation and drop-shippingCoordinate entry points (SCF, NDC, etc.) to reduce postage costs and improve delivery speedManage relationships with external mailing and logistics partnersCross-Functional CollaborationPartner with client services and production teams to align timelines and expectationsProvide guidance on mail strategy during campaign planningCommunicate proactively about potential issues, delays, or optimization opportunitiesProcess Improvement & ReportingTrack postage costs, savings, and efficiencies across campaignsIdentify and implement process improvements in data flow, documentation, and logisticsDevelop best practices for postal optimization and operational efficiencyQualificationsRequired2-4 years of experience in direct mail, mailing operations, or postal optimization Strong knowledge of USPS regulations, classifications, and postage strategiesExperience with presorting, NCOA, CASS, and mailing workflowsFamiliarity with postage statements and USPS documentation (e.g., Mail.dat, Mail.XML)Strong analytical and problem-solving skillsExcellent organizational and communication skillsPreferredExperience working with third-party postal logisticsKnowledge of postal software (e.g., BCC Mail Manager, Satori, Quadient, etc.)Background in high-volume direct mail environmentsUnderstanding of data processing workflows for direct mailKey Traits for SuccessDetail-oriented and highly accurateStrong understanding of how to save money on postageProactive problem solver who anticipates issues before they happenComfortable working across teams and managing moving partsProcess-driven with a continuous improvement mindsetWhy Join Solo Printing?Be a key driver in optimizing one of the most critical cost centers in direct mailOpportunity to shape and improve internal postal strategiesWork with a growing, fast-paced team and high-volume clientsCompetitive compensation and benefitsPaySalary Range: $55,000 - $70,000 (Based on experience)Signing Bonus: Available after 6 monthsMedical, Vision & Dental insurance401K Plan after 1 yearVacation & Sick DaysOpportunity for GrowthScheduleMonday through Friday8:00am – 5:00pm
