Clerk 1- Superintendent of Schools

DescriptionUnder the direction of the Morris County Superintendent of Schools or designee, performs varied clerical and administrative support functions related to the business operations of the County Office. Provides assistance to local school districts in areas including budget development and submission, annual financial reporting, transportation, and related compliance requirements in accordance with New Jersey Department of Education (NJDOE) statutes, regulations, and guidance. The position will also support functions related to special education services provided by the County Office, including coordination of documentation, data collection, and related administrative processes as required. Work involves frequent interaction with County Office staff, school district personnel, and the general public. Serves as a liaison between local school districts and the NJDOE by facilitating communication, supporting the implementation of state requirements, and promoting compliance with applicable laws and procedures. The position requires the ability to work in a fast-paced environment, manage multiple priorities, maintain a high level of accuracy, and handle confidential and sensitive information with discretion.Essential Functions And ResponsibilitiesProvides guidance and technical assistance to school districts regarding budget development, submission timelines, and NJDOE reporting requirementsAssists in the review, tracking, and processing of school district budget submissions and supporting documentation for completeness and complianceSupports the collection, organization, and maintenance of annual financial reports and required district filingsResponds to inquiries from school districts, vendors, and the public via telephone and electronic communication in a timely and professional mannerReviews NJDOE regulations, guidance, and communications to support district compliance with business and fiscal operationsDistributes NJDOE reports, updates, and official communications related to budgets, transportation, and fiscal mattersCommunicates district feedback, concerns, and questions to NJDOE as appropriateReconciles state data system reports with district submissions to ensure accuracy in budget, transportation, and financial reporting; identifies and assists in resolving discrepanciesMaintains organized and confidential electronic and paper records in accordance with established procedures and retention requirementsUtilizes Microsoft Office (Excel, Word, Outlook) and Google Workspace to support data tracking, reporting, and communication functionsAssists with transportation-related processes, including coordination of data collection and support for district reporting requirementsSupports business office functions related to special education, including coordination of fiscal documentation and required reportingOperates and navigates state and county data systems; demonstrates the ability to learn and adapt to new systems as requiredPromotes effective department communication, coordination, and cooperationPerforms general clerical duties and other related tasks as assignedQualificationsKnowledge of standard office practices, procedures, and equipmentAbility to communicate effectively, both orally and in writingAbility to maintain accurate records and organized filing systemsAbility to work independently and manage multiple assignments in a deadline-driven environmentAbility to establish and maintain effective working relationships with staff, school districts, and the publicAbility to handle confidential and sensitive information with discretionProficiency in Microsoft Office applications, particularly Excel and Word; familiarity with Google Workspace preferredAbility to learn, interpret, and apply NJDOE regulations and procedures related to school finance and operationsStrong attention to detail and ability to work with numerical and financial dataExperience with database or customer relationship management systems (e.g., Salesforce) preferred LocationMorristown, NJ 07960
