Accounting / Bookkeeping Specialist Trucking
Position Overview
The Accounting / Bookkeeping Specialist is responsible for day-to-day accounting operations, billing, collections, payables, payroll support, and financial record accuracy. This role works closely with Dispatch, Safety, HR, Maintenance, and Management to ensure all revenue and costs are properly captured and reported.
This position requires someone who is organized, reliable, and comfortable working with multiple systems and deadlines.
Job Summary
We are seeking a detail-oriented and experienced Accounting / Bookkeeping Specialist with a focus on trucking industry financials. The ideal candidate will manage comprehensive accounting functions, including general ledger management, account reconciliation, and financial reporting. This role requires proficiency in various accounting software and a solid understanding of GAAP principles, with an emphasis on accuracy and compliance. The position offers an opportunity to contribute to the financial health of our trucking operations through precise bookkeeping and financial analysis.
Key Responsibilities
Accounts Receivable & Billing
Invoice customers and brokers accurately and on time
Ensure all paperwork is complete (PODs, accessorials, approvals) before billing
Track and follow up on overdue invoices
Communicate with customers and brokers regarding payment status
Financial Recordkeeping
Maintain accurate financial records and general ledger entries
Reconcile bank accounts, fuel cards, toll accounts, and credit cards
Track revenue, expenses, and cost-per-mile
Reporting & Support
Prepare weekly and monthly accounting reports
Assist with month-end close
Support audits, insurance requests, and management reporting
Maintain organized digital records
System Management
Work within McLeod TMS for billing and financial data
Coordinate with Dispatch to resolve missing or incorrect paperwork
Qualifications
Previous experience in accounting or bookkeeping (trucking or logistics preferred)
Understanding of trucking billing, accessorials, and driver pay is a strong plus
Experience with McLeod TMS and accounting software (QuickBooks or similar)
Strong attention to detail and time management skills
Comfortable handling confidential financial information
Ability to work independently and meet deadlines
