Job Title: Administrative Assistant
This is a full-time, non-exempt, hourly position.
Location – Circle’s corporate office – 4606 N 132nd St, Butler, WI 53007
Job Summary:
Circle Electric is looking for an administrative genius to join our organization and support our growing team! We have a mixture of administrative and coordination tasks that the right person will be ready to tackle. We are looking to bring in a highly motivated, self-starter who will readily jump in and ask, “How can I help?” Ideally, the person who fills this role will enjoy a wide variety of tasks, be fulfilled by helping others bring things to fruition, and be willing to take on any task no matter how big or how small.
Responsibilities:
Answer phones and greet guests who come to the office
Monitor inventory and order supplies - office supplies, safety equipment, kitchen supplies, etc.
Coordinating company events – scheduling, sending invites, occasionally securing an offsite venue, ordering food, purchasing supplies – and helping with various company culture initiatives
Assist with tracking safety certifications and coordinate with vendors to schedule and arrange renewal training when needed
Procure COIs and Subcontracts as requested
Support Project Management team with all administrative tasks pertaining to the project delivery process which could include: pulling permits, entering budgets, creating purchase orders, ordering materials, coordinating site visits with customers, billing, and more
Assist field Electricians with documentation, resources, and information as necessary
Other miscellaneous duties as assigned
Qualifications:

High school diploma
3 years of experience in an Administrative role, in the trades is a huge plus
Highly organized with strong attention to detail
Excellent communication skills, both verbal and written
Strong ability to problem solve and think critically as situations arise
Willingness to learn and take on new tasks
Familiarity with Microsoft 365 and its tools is a plus
Physical Requirements:
Ability to sit at a desk and use a computer for extended periods of time.
Good eyesight and hand-eye coordination for accurate data entry and reading of project plans and specifications.
Good hearing and ability to talk for effective communication with clients, contractors, and team members.
The ability to lift and carry up to 25 pounds of materials, such as project documents, plans, supplies, and equipment.
