Clinical Manager - ABA Therapy

POSITION OVERVIEWThe Clinical Manager (CM) plays a pivotal leadership role at overseeing the clinical and operational functions of a regional team that delivers center-based, in-home, and in-community ABA services. The CM is responsible for the integrity of individualized treatment plans, the professional development of clinicians, and the quality of care for every child and family served.Reporting to the Regional VP, the CM acts as a bridge between clinical excellence and operational efficiency — championing culture in every interaction, driving evidence-based practice, and building a high-performing team that exceeds outcomes for clients.LEADERSHIP & TEAM MANAGEMENTLead, supervise, and develop a multidisciplinary clinical team including BCBAs, Program Supervisors, Apprentices, Training Coordinators, Program Specialists, Senior Technicians, RBTs, and BTsFoster a culture of safety, open communication, and continuous feedback rooted in behavior-analytic principlesFacilitate monthly All-Staff meetings and serve as a liaison between clinical, therapeutic, and operations teamsProactively resolve staff conflicts, escalating to the Regional VP/Clinical Director when appropriateConduct, at minimum, annual performance reviews for all direct reports; provide timely, constructive feedback year-roundEstablish and regularly review caseload assignments for BCBAs and RBTs to ensure equitable distribution and quality careOversee the Apprentice Program process and executionMaintain an open-door policy that promotes collaboration, trust, high performance, and mutual respectCollaborate cross-functionally with CMs company-wide to drive consistency in practice management and organizational cultureCLINICAL QUALITY & OVERSIGHTReview and provide structured feedback on Treatment Plans and Behavior Intervention Plans (BIPs) prior to insurance submissionEnsure all documentation is completed accurately and on time, including:BCBA and RBT supervision hoursClinical and billable session notesInsurance authorizations and renewalsConduct regular client assessments and evaluations at minimum every 6 monthsConduct weekly 1:1 meetings with each BCBA to support ongoing clinical education, review training materials, and provide individualized feedbackIdentify and address gaps in clinical skills through targeted training and professional development initiativesTrain BCBAs on billable note documentation standards; perform routine spot checks to ensure complianceUnderstand payer-specific insurance requirements and proactively educate BCBA and clinical staffMaintain willingness to carry a direct caseload as organizational needs ariseOPERATIONAL & ADMINISTRATIVEPartner with the Outreach Coordinator to align intake volume with regional budget goalsEnsure seamless onboarding experiences for every child and family entering servicesSupport BCBA team capacity by actively participating in recruiting efforts and advocating for staffing levels that meet authorized client hoursEnsure clinic facilities are clean, well-stocked, and compliant; coordinate supply needs for home/community providersCollaborate with the Training Coordinator to identify training gaps, develop programming, and maintain an effective training calendarCoordinate with the Intake Coordinator to schedule intake meetings and ensure timely onboarding for RBTsServe as the primary family contact at service onset; transition communication smoothly to the assigned BCBARequest and maintain therapeutic/educational materials and supplies inventoryMaximize fulfillment of authorized supervision and direct treatment hours in collaboration with BCBAsSeek regular feedback from staff and families to assess satisfaction and drive continuous improvementCULTURE & COMMUNITY REPRESENTATIONChampion the company's mission, vision, and values in every interaction — serve as a culture ambassador for the organizationRepresent at public speaking engagements, networking events, and community outreachProvide input and coordination on communications with outside professionals and interdisciplinary partnersAdhere to the BACB Ethics Code at all times and model ethical behavior for the clinical teamUphold and enforce HIPAA policies and all policies and proceduresQUALIFICATIONSMaster’s degree in Applied Behavior Analysis, Psychology, Special Education, or a related fieldBoard Certified Behavior Analyst (BCBA) certification required; state licensure preferredMinimum of 3 years of ABA clinical experience, with demonstrated proficiency in assessment, treatment planning, and supervision3–5 years of progressive leadership experience, including staff supervision and caseload managementPassionate about behavioral science and committed to disseminating evidence-based practicesDemonstrated history of ongoing professional development, CEUs in supervision and ethics, and continued learningProven ability to develop and lead teams through organizational initiatives and special projectsDeep commitment to the professional and personal growth of the clinical teamKNOWLEDGE, SKILLS & ABILITIESExceptional organizational and time management skills;
