A well-established boutique law firm in Coral Gables is seeking an experienced Office Manager who is ready to do more than maintain operations — they want someone who can build them. WHAT YOU WILL OWN This is a top-to-bottom operations role. You will be the person the firm depends on to keep everything running — and running well. — Design and implement standard operating procedures (SOPs) across all firm functions — Create and maintain systems for intake, file management, deadlines, and workflow — Oversee day-to-day office operations and ensure the firm runs efficiently and professionally — Manage vendor relationships, office supplies, facilities, and technology coordination — Handle HR functions including onboarding, personnel files, and policy administration — Support billing processes, expense tracking, and coordination with accounting — Supervise and support administrative staff, setting clear expectations and accountability — Serve as the operational right hand to firm leadership — Identify gaps, propose solutions, and implement improvements proactively WHO YOU ARE You are not looking for a job where someone tells you what to do every day. You bring structure to chaos without losing the warmth and professionalism a client-facing environment demands. — Minimum 5 years of office management experience in a law firm environment — Proven ability to create SOPs, build systems, and establish operational order from the ground up — Strong knowledge of law firm operations including billing, compliance, and client file management — Experience with HR oversight including onboarding, performance management, and policy administration — Proficiency with legal practice management software and Microsoft Office Suite — Exceptionally organized, detail-oriented, and calm under pressure — A natural leader who earns trust quickly and holds a team accountable with professionalism — Bilingual English and Spanish a plus in this market WHAT THE FIRM OFFERS — Compensation based on experience — Full-time, in-office position in Coral Gables — A collaborative and professional environment where your contributions are seen and valued — The opportunity to build something that lasts
