Administrative Manager (Onsite)
About The RoleWe are seeking an experienced Administrative Manager to lead and optimize administrative operations within our manufacturing facility. This role is critical to ensuring efficient office processes, strong document control, and seamless support for plant leadership and cross-functional teams.You will oversee administrative staff, manage facility services, support compliance and audits, and serve as a central hub for communication, logistics, and site coordination. This position plays a key role in maintaining operational discipline, cost efficiency, and a well-organized, high-performing workplace.What You’ll DoAdministrative OperationsLead and manage all administrative functions within the facilitySupervise administrative staff (assistants, document control, reception, facilities coordination)Establish and improve administrative processes and workflowsProvide timely support to plant leadership and cross-functional teamsDevelop and enforce administrative policies and proceduresDocument Control & ComplianceOversee document control for SOPs, work instructions, and controlled documentationEnsure proper version control, approvals, and distributionMaintain audit-ready documentation aligned with quality standards (ISO, internal, and customer audits)Support internal and external audit activitiesFacility & Office ServicesManage facility services including maintenance, cleaning, utilities, and suppliesOversee vendor relationships and service contracts (janitorial, security, office equipment, etc.)Coordinate workspace planning and office layoutEnsure compliance with workplace standards in partnership with EHSCross-Functional CoordinationAct as administrative liaison across departmentsSupport onboarding logistics (workspace setup, system access, documentation)Coordinate internal communications, meetings, and executive supportAssist with implementation of company initiatives at the site levelArrange travel for employees, candidates, and visitorsData & ReportingPrepare reports, presentations, and operational summariesMaintain training, compliance, and facility recordsBudget & Cost ManagementManage administrative budgets (supplies, services, contracts)Identify cost-saving opportunities without impacting operationsMonitor vendor performance and contract complianceWhat We’re Looking ForBachelor’s degree in Business Administration, Operations, or related field (or equivalent experience)5–10+ years of administrative or office management experience in a manufacturing environment (required)Proven experience managing teams and working cross-functionallyFamiliarity with ERP systems (e.g., SAP) and document control systemsStrong organizational, process management, and problem-solving skillsExcellent leadership and communication abilitiesHigh attention to detail, especially in compliance and documentationAbility to manage multiple priorities in a fast-paced environmentProficiency in Microsoft Office (Excel, Word, PowerPoint)Work Environment & TravelPrimarily office-based within a manufacturing facilityAbility to work at a computer for extended periodsComfortable in a fast-paced, growing organizationUp to 25% travel may be requiredAdditional InformationApplicants must be authorized to work for any employer in the U.S. The Company will not sponsor or take over sponsorship of any employment visa, including without limitation, H-1B, O-1, E-3, TN status, or I-485 job portability or similar immigration processes.We are an Equal Opportunity Employer and celebrate diversity, fostering an inclusive workplace where all employees thrive.
