Key Responsibilities:Executive & Personal SupportCoordinate and execute personal and professional errands for executives (e.g., returns, package pick-ups, dry cleaning, etc.)Manage food ordering, lunch runs, and catering pickup/drop-off for executives and small leadership meetingsSource, purchase, and coordinate delivery of gifts (clients, team members, personal requests)Make reservations (dining, small group outings, personal appointments as needed)Assist with ad hoc personal tasks that enable executives to stay focused on high-priority workAnticipate needs and proactively handle requests with minimal directionDay-to-Day Executive Convenience SupportHandle last-minute, time-sensitive requests (“can you grab this / pick this up / make this happen today”)Assist with after-hours or early-morning requests as neededTrack and manage small recurring personal or administrative to-dos for executivesProvide on-the-ground support during internal events, leadership meetings, or offsitesAdministrative SupportAssist executives with simple task follow-ups (reminders, quick coordination)Help pull together basic materials or run copies/print/scan as neededProcess small reimbursements or purchase tracking (if applicable)Support one-off projects or requests from leadership that require quick turnaroundKeep personal or executive-related items organized (receipts, orders, tracking info, etc.)Catch-All SupportStep in wherever there are small but urgent gaps in support across the executive teamTake ownership of tasks that don’t clearly fall within another role but still need to get doneAct as a reliable, go-to problem solver for quick-turn needsMaintain a “no task too small” mindset while exercising strong judgment and prioritizationSkills, Knowledge, & ExpertiseEducationHigh school diploma or equivalent requiredAssociate’s or Bachelor’s degree in business, hospitality, or a related field preferredExperience1-3+ years of experience in an administrative, personal assistant, hospitality, or support-oriented roleExperience supporting senior leaders or high-level stakeholders preferredExperience handling errands, coordinating logistics, or managing time-sensitive requests is highly valuedPrior experience in a fast-paced, service-oriented environment (e.g., office, hospitality, operations) preferredSkillsResponsiveness & Reliability - Strong sense of urgency with consistent follow-through on tasks and requestsProactive & Resourceful Thinking - Anticipates needs and problem-solves independently with minimal directionOrganization & Multitasking - Able to effectively manage multiple priorities and shifting requests while maintaining accuracyAdaptability & Flexibility - Comfortable operating in a dynamic environment with varying responsibilitiesDiscretion & Professionalism - Exercises sound judgment and maintains confidentiality with sensitive informationService-Oriented Mindset - Approaches tasks with a “no task too small” attitude and a focus on supporting othersCommunication Skills - Clear, professional communication with executives, team members, and external vendorsTime Management & Prioritization - Ability to quickly assess urgency and manage competing demandsAttention to Detail - Ensures accuracy and quality in execution of tasks and logisticsBasic Technical Proficiency - Comfortable using common workplace tools (email, ordering platforms, expense systems, etc.)BenefitsCompensation: $60,000 - $75,000 / yearEligible for discretionary benefits: performance bonus 10%Eligible for standard employee benefit elections: Medical, Dental, Vision, 401K, FSA, HSA, Commuter Benefits, Employee Assistance Program, Life Insurance (employee and dependents), Short-term disability (STD), Long-term disability (LTD), Accidental death & dismemberment (AD&D), vacation days, sick days, and other benefitsTravel: this position will not require travelDisclaimer:To All Recruitment Agencies - NexCore Group does not accept unsolicited third-party resumes.NexCore Group knows that when we welcome different points of view, it makes us better, stronger, and moves us boldly forward in becoming a world-class company.
