The Executive Assistant supports multiple c-suite and senior level executives by assisting them with administrative functions and day-to-day business operations with a focus on Finance, HR and IT.What You’ll DoManage complex calendars and schedule with intention to keep days running smoothly and conflict free.Create polished meeting invites with all details included, such as attendees, Teams links, agendas, materials, and room needs.Coordinate internal and offsite meetings, including room setup and catering.Provide on-site administrative and office support. This includes phone coverage, mail distribution, greeting guests, and managing supplies and equipment.Maintain organized electronic files, including invoices, contracts, and other legal documents.Coordinate all travel arrangements and logistics.Process expense reports and invoices accurately and on time.Support onboarding and orientation activities for new hires.Provide backup coverage for the executive assistant team.Review and edit memos and presentations as needed.Serve as a key point of contact for executives, employees, board members, building management, and external partners.Plan and coordinate events within scope and budget.Handle confidential information with discretion and uphold company policies.Take on ad-hoc projects and administrative tasks to support the executive team.What You NeedBachelor’s degree or equivalent experience and education5 + years of relevant experience in an administrative or support function at the executive levelWith A Side OfStrong verbal and written communication skillsProficient in Microsoft PowerPoint, Excel, and WordExperienced with Microsoft Outlook, including scheduling functionsMicrosoft Teams, WebEx and Zoom experienceExpense management software experienceWork a flexible schedule, and prioritize activitiesOrganizational and planning skillsStrong interpersonal skillsReport preparation and research skillsAbility to maintain high level of confidentialityPHYSICAL DEMANDSHearing: Adequate to perform job duties in person and over the telephone.Speaking: Must be able to clearly communicate in person and over the telephone.Vision: Visual acuity adequate to perform job duties, including visual examination of patient (if applicable) and reading information from printed sources and computer screens.Other: Adequate physical ability includes sufficient manual dexterity to perform the requisite job duties. Job duties may require bending, reaching, repetitive hand movements, standing, walking, squatting, sitting and occasional heavy lifting, pushing and pulling.WORK ENVIRONMENTWork environment is typical of an office setting. Work may be fast-paced and intense at times. Interaction with others is constant and interruptions may occur. Schedule requires flexibility to occasionally include evenings, early mornings, and weekends. Occasional travel will be required.PRIVACY & SECURITY AWARENESSWhile performing the duties of this job, it is imperative that the employee remain aware of company policies, Information Security policies, standards, guidelines and procedures for minimizing threats and ensuring protection of PHI. The success of HIPAA policies and procedures is dependent upon the awareness and buy-in of everyone involved in daily healthcare operations, including reporting incidents to their supervisor or directly to the HIPPA leadership.
