This onsite role is perfect for a detail-oriented individual who thrives in a dynamic environment, enjoys creating an efficient workspace, and has a passion for people.ResponsibilitiesInternal Recruitment Coordination (Approx. 70%): Internal Hiring: Source for and screen candidates for any internal openings.Job Posting Management: Post and refresh job descriptions on various internal and external job boards, ensuring accuracy and broad reach.Candidate Scheduling: Coordinate and schedule interviews between candidates and hiring managers, managing calendars and sending timely confirmations.Candidate Communication: Act as a primary point of contact for candidates throughout the interview process, providing updates, answering general questions, and ensuring a positive candidate experience.Onboarding Support: Assist with pre-boarding and onboarding logistics for new hires, including preparing welcome kits, setting up workspaces, and coordinating initial IT access.Help with recruiting for any role the company might have if needed.Office Administration (Approx. 30%): Office Management: Oversee the day-to-day operations of the office, ensuring a smooth and productive work environment. This includes maintaining office cleanliness, organization, and a welcoming atmosphere.Supplies & Inventory: Manage office supply inventory, ordering, and vendor relationships (e.g., cleaning services, snack vendors, IT support as needed).Mail & Shipments: Handle incoming and outgoing mail, packages, and deliveries.Meeting & Event Coordination: Assist with scheduling meetings, preparing meeting rooms, and coordinating internal company events (e.g., team lunches, holiday parties, training sessions).Visitor Management: Greet visitors, answer and direct phone calls, and manage incoming communications with professionalism and a positive attitude.Facilities Support: Act as a liaison for building management, coordinating maintenance requests and facility-related issues.Administrative Support: Provide general administrative support to various departments as needed, including data entry, document preparation, and filing.Assist Partners in their day-to-day activities and responsibilities. Qualifications1+ years of recruitment or Human Resources experience.Experience or interest in an office administration, administrative assistant, or similar role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.Exceptional organizational skills and attention to detail.Excellent written and verbal communication skills.Strong interpersonal skills with a friendly, professional, and positive demeanor.Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.Proactive, resourceful, and able to work independently as well as part of a team.High level of discretion and ability to handle confidential information.Bachelor's degree preferred, but not required with equivalent experience.
