As the Resort’s Rooms Controller, duties will entail many facets of auditing reservations for the resort. Ensuring accuracy of room assignments, billing needs, and other tasks, you’ll work closely with the resort's Reservations Team, Operations Teams, and Sales Teams
Below are tasks related to the frequency of completing them: daily, weekly, monthly and yearly. Following are duties in an additional assignment in Rooms Controller.
Checking Reservations Created Yesterday
Rooms plotted, moving other reservations around if need be to plot room
Rate info verified, proper initial deposit taken (half or full based on cxl policy window)
Any qualifying notes to put on the reservations (cxl. policy info, rate package info, etc.)
If 3rd party booking, create the proper billing patterns and add any qualifying notes.
Verifying correct room assignment and notes on file regarding any rate info package
When time permits, do similar process for any reservations created today thus far
Cancellation Report Running
Utilize reports via Opera to check all Cancellations done the day or days prior to running
Ensure deposits are refunded where able, applying cancel fees where applicable
Keeping up with these reports helps made End of Quarter/End of Year Deposits Ledger cleaning smoother
Room Plan Management and Straight Line Optimization
Checking for any straight line availability issues or needs
Upgrading where applicable to create multi-night booking windows where there weren’t any at all or for specific room categories
Keen observation on all sold out opportunities
Monthly/Yearly Tasks
Deposit Ledger Management
Audit the resort’s deposit ledger reports
Amend all necessary accounts with deposits from canceled reservations that need refunded, forfeited, or moved forward to future reservations, active or PM Holds
At Year End, ensure everything applicable is moved forward to the next year where needed, and refunded or forfeited if needed
Ongoing Tasks
Daily Room Plotting, working with Front Desk and Housekeeping as rooms become available
Chatting with guests regarding arrivals, in room requests, etc., via chat base systems that may be in place
Room assignment with amenity requests, relaying with coinciding FB team or other that delivers them
Double checking future room plotting for upcoming guests and stays in the week or 2 weeks out
Billing matters, Departures, Open Folios
Hourly Rate: $35.00
Qualifications
Previous experience in hotel or hospitality operations, particularly in group reservations or rooms coordination preferred.
Strong communication and interpersonal skills and excellent organizational and multitasking abilities.
