Order Initiation Specialist

SUMMARYThis role leads the order initiation activities, reviewing all incoming orders, obtaining the order approvals and setting up the appropriate SAP project structure , budget and plan. This role also helps review to perform SAP project closure at the completion of the work.ESSENTIAL DUTIES & RESPONSIBILITIESManagement of all new machine orders which includes:Review of new machine order paperwork received from sales to ensure all information is complete and accurate.Obtain sales and credit approval for each orderFacilitate new order risk review meeting to discuss each order.Maintenance of the order review spreadsheetSetup of project builds in SAP for all new machine turnkey and integration project orders based on defined guidelines to comply with the required revenue recognition rules.Entry of budget in SAP from PV1 tool for each machine order.Project planning of revenue and cost using PV1 tool for each machine order.Consider transfer pricing requirements for machines sold through the Canadian and Mexican entities as it relates to project setup and sales order request.Submission of accurate and complete sales order requests to accounting.Maintenance of all required support for each machine order on the project SharePoint site.Management of all machine change orders which includes:Creating updated version of the PV1 file to adjust for the change.Adding to/updating the project build in SAP.Updating PV1 revenue and/or plan costs in SAP.Updating budget in SAP.Sending change order request to designated team so that the sales order can be updated timely.Uploading supporting documentation to the active project's SharePoint site.Review open MC projects to determine those that are fully complete from an operations perspective and should be added to the Accounting TECO list for final accounting review.PV1 option review to determine obligations on projects that should be set TECO at each month end.This could include review of materials, DIFs, etc.SUPERVISORY RESPONSIBILITIES :This role leads the recurring Order review meeting where all order content is reviewed for risks.
