Operations and Program Administration Intern, Pre-CollegeThis internship provides hands-on experience supporting large-scale, residential pre-college programs in New York City, delivered in partnership with globally recognized institutions including The School of The New York Times, Vogue Summer School, WIRED, and Sotheby's Institute of Art. Interns develop practical skills in education operations, student services, academic programming, and cross-departmental collaboration, while gaining meaningful exposure to the media, fashion, and arts education industries.The role of Operations and Program Administration Intern spans 8 weeks over the summer and will play a crucial role in the support of ensuring the smooth delivery of our Pre-College programs.The following are key responsibilities of the Operations and Program Administration Intern. Other duties may be assigned as needed:Support all on-the-ground operational processes to ensure the smooth execution of programsCollaborate with cross functional teams including Academics, IT, Finance, Marketing, Admissions, among othersSupport the faculty and contractor (guest speaker) booking, contract and payment processesLiaise with program Welcome Desk, the central communication center for the pre-college program, as well temporary administrative, academic and residential life staff.Assist in organizing program events including but not limited to Student Orientation, Parent engagement, student welcome soirees, Speaker Series and Closing CeremonySupport the maintenance of the program project management platform, Monday.com to track faculty onboarding informationActively participate in staff meetings, regularly scheduled program planning meetings, weekly one-on-one meetings with supervisor, and other meetings as assignedSupporting other teams and programs as requiredAdministrative oversight for the following:Site Visit Coordination: Liaise with the Academics/Operations team to track all logistics related to student site visitsClassroom & Program Support: Assist with the preparation and distribution of classroom materials, educational technology, and boxed lunches. Ensure that all materials are delivered accurately and on time.Guest Speaker Coordination: Manage the onboarding paperwork for guest speakers, ensuring all necessary forms are completed and submitted. Support guest speaker logistics, including setting up Zoom calls for virtual speakers, on-site guest speaker pickup and handling any related technological needs.Communication Management: Facilitate communication between staff, faculty, and external partners and vendors.Student Support: Serve as a point of contact for student requests and concerns, providing guidance or redirecting to the appropriate staff when necessary.Faculty Liaison Support: Assist with the coordination of faculty-related activities, including the preparation and deployment of materials for Faculty on the first day of academic programming and other faculty-related events.Safety & Compliance: Adhere to safety and discipline protocols, ensuring a safe environment for students both on campus and during off-site activities.To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Experience in a fast-paced, student-centered environment is a plus.Must be willing to obtain a CPR certification prior to the start of the program (a reimbursement will be provided)Language Skills:While no special language skills are required for the position, applicants should be capable of upholding the highest standards of written and spoken English, in professional settings. The ability to speak another language is a plus.Employment Date, Hours, Schedule:The Operations and Program Administration Intern role is a full-time, temporary position from June 7-July 2026, including both Juneteenth and the 4th of July holidays, with the possibility of occasional evening work. Additionally, there will be two weeks of paid training prior to the start of the pre-college program.Candidates must be available to work during the entire term and be prepared for a dynamic, fast-paced environment.Physical Demands:The physical demands listed here are representative of those that must be met by an employee to successfully perform the essential functions of his/her job. Additionally, there is a separate training stipend of $700.00.Schedule:Operations Administrative Assistant must complete a series of online training and in-person training prior to start of program.
