Administrative Assistant
Neuro Speech Solutions is a growing private speech-language pathology practice specializing in communication and cognitive rehabilitation for neurologic disorders. We are seeking a part-time administrative assistant to join our team, with an expanded role for approximately 6 months to support maternity leave coverage (March - September).
This position is expected to continue as a part-time role after coverage ends. While full-time hours are not anticipated immediately, there may be opportunities for increased hours over time as the practice grows. We will be moving into a new facility to further support our clients and team members.
Position Details
Hours
Approximately 20–30 hours/week total
Daytime availability required (Monday–Friday)
The exact schedule is flexible between 8 AM and 6 PM
Core Responsibilities
Patient Inquiries & Scheduling
Respond to appointment requests and general inquiries
Schedule evaluations and treatment sessions
Record and relay pertinent client information to clinicians
Track attendance and notify clients and clinicians of attendance concerns
Client Onboarding & Front-End Support
Send intake paperwork and ensure completion (HIPAA-compliant)
Enter demographic and insurance information into EMR
Verify insurance benefits and answer basic coverage questions
Executive / Practice Support
Answer and return phone calls in a timely manner
Communicate with physician offices to request and fax records
Track progress report due dates and physician signatures
Keep clinicians informed of schedule or administrative changes
Support organization of office workflows and systems
Billing & Insurance Support (Training Provided)
Verify insurance benefits
Follow up on delayed or denied claims
Complete prior authorizations
Track visits, authorizations, and payments
Collect client payments via EMR

Demonstrated ability to work respectfully and effectively with individuals from diverse backgrounds, identities, and life experiences
Sensitivity to and acceptance of a wide range of speech, language, cognitive, and communication abilities, including acquired communication disorders
Ability to interact with clients and families in a way that is patient, nonjudgmental, and supportive
Requirements
High school diploma required; some college preferred
Strong computer skills (EMR systems, spreadsheets, email)
Organized, reliable, and detail-oriented
Clear written and verbal communication skills
Comfortable handling protected health information
Ability to manage multiple tasks in a fast-paced environment
No prior medical billing experience required. We are happy to train the right candidate(s).
