Job BriefWe are seeking an Executive Assistant to provide comprehensive, high-level support to our leadership team. This role involves acting as a “force multiplier,” managing complex schedules, facilitating strategic communication, and ensuring that the leadership team’s daily operations run smoothly. The ideal candidate is a proactive professional with exceptional organizational skills and the ability to anticipate executives’ needs in a dynamic environment. ResponsibilitiesSchedule Management: Manage complex calendars, prioritizing meetings and resolving scheduling conflicts efficiently.Strategic Communication: Serve as the primary point of contact between executives and clients or internal stakeholders, handling communications with professionalism and discretion.Travel Logistics: Organize detailed itineraries for domestic and international travel, including flights, transportation, and accommodations.Meeting Support: Prepare meeting agendas, take accurate minutes, and ensure follow-up on agreements and pending tasks (action items).Document Preparation: Prepare presentations, reports, emails, and confidential documents to a high standard of quality.Project Management: Coordinate special projects and corporate events, ensuring that established deadlines and objectives are met.Expense Control: Manage and report on executive-level corporate expenses, ensuring compliance with company policies.Research and Analysis: Conduct market research or prepare strategic client profiles prior to key meetings.Gatekeeping: Protect the executive’s time by ensuring that only priority matters come to their immediate attention.Internal Collaboration: Work closely with other departments to streamline administrative processes and improve organizational culture. Requirements & SkillsPrevious Experience: Proven experience as an Executive Assistant, Personal Assistant, or in high-level administrative roles (preferably in the technology or SaaS sector).Total Discretion: Undeniable ability to handle sensitive and confidential information with integrity.Superior Communication: Exceptional interpersonal and writing skills.Organization and Multitasking: Ability to prioritize tasks under pressure and manage multiple projects simultaneously without losing sight of the details.Tech Proficiency: Expertise in using Google Workspace or Microsoft Office, project management tools (ClickUp, Jira), and communication platforms (MS Teams, Slack, Zoom).Problem-Solving Mindset: Ability to solve problems independently with a proactive, “can-do” attitude.Education: A college degree in Administration, Communication, Business, or related fields is desirable.
