Executive Assistant
DescriptionWe are looking for a highly organized and proactive Executive Assistant to support the Chief Executive Officer and President of a prestigious asset management firm. This role involves managing a variety of personal and business tasks, requiring exceptional attention to detail and the ability to prioritize effectively. The ideal candidate will have experience supporting high-net-worth individuals.Responsibilities:- Coordinate complex travel arrangements, including commercial and private transportation, and ensure seamless communication with travel professionals.- Manage and maintain the executive's calendar, scheduling appointments and events using Microsoft Office Suite and Apple products.- Handle meeting preparation by taking detailed notes, distributing follow-up tasks, and collaborating with colleagues as needed.- Oversee administrative tasks such as document handling, including copying, faxing, printing, scanning, shredding, and retrieving files.- Arrange cash pickups at the designated bank and ensure timely completion of financial errands.- Monitor and maintain office equipment at the executive's residence, including ordering supplies and coordinating repairs as necessary.- Resolve issues promptly by liaising with internal and external personnel to ensure the smooth functioning of operations.- Ensure a detail-oriented approach in meetings and interactions, maintaining a presentable demeanor.- Support the executive in initiating and delivering work processes effectively.- Facilitate organizational growth by demonstrating adaptability and a willingness to learn.Requirements - At least 5 years of experience supporting C-suite executives in a detail-oriented role.- Comprehensive knowledge of travel arrangements, including booking and coordination.- Strong organizational skills with meticulous attention to detail.- Excellent verbal and written communication abilities.- Proven ability to manage multiple tasks and prioritize work effectively under tight deadlines.- Proficiency in Microsoft Office Suite and Apple products.- Self-motivated and capable of working independently while maintaining accountability.- A positive attitude and commitment to delivering high-quality results.
