You will keep the calendar running, the files in order, the clients informed, and the attorney focused on legal work. You do not need a law degree. You need to be detail-oriented, good on the phone, fast with technology, and someone who takes pride in doing things right the first time.This role starts at the administrative level and is intentionally designed to grow. As you master the fundamentals and develop familiarity with the firm's clients and workflows, you will take on expanding responsibility in client communication and case coordination — moving into the full Client Services Coordinator role. That is a real promotion with real expanded duties, not a title change.The hours are 10:30 AM to 5:30 PM. No early mornings.What You Will DoAdministrative OperationsManage the attorney's calendar in Microsoft Outlook — schedule consultations, sync appointments, send reminders, confirm meetingsAnswer and manage incoming phone calls and emails professionallyGreet clients and create a welcoming, professional office environmentHandle incoming and outgoing mail and coordinate document execution logisticsFile and Records ManagementScan, label, and organize documents into Dropbox according to firm filing conventionsMaintain organized digital and physical client files — nothing gets lost, everything is findablePrepare client binders, estate planning execution packages, and correspondence packetsAssist with the transition from physical to fully digital file managementClient and Case SupportEnter and maintain client information in Lawmatics, the firm's case management platformAssist with new client intake — collect information, open files, enter dataFollow up with clients on outstanding documents and appointment confirmationsServe as a communication bridge between clients and the attorneyOperationsLearn and consistently use firm platforms: Lawmatics, Microsoft Outlook, Dropbox, and LEAPParticipate in regular check-ins to report on task status and flag anything that needs attorney attentionHelp identify gaps in workflow and support process improvements as the firm growsWhat We Are Looking ForRequired:Strong written communication — you proofread your own work and spelling matters to youProficiency in Microsoft Outlook — calendar, email, schedulingComfortable learning new software quicklyHighly organized, detail-oriented, and reliableProfessional and warm on the phonePunctual — this is an in-office position and showing up mattersPreferred (We Will Train the Right Person):Prior experience in a law office, medical office, or professional services environmentFamiliarity with Dropbox, Lawmatics, or any CRM or case management platformExperience with document scanning and digital records managementBasic understanding of estate planning or legal terminologyThe Growth PathThis is not a lateral move.
