Ingenium Schools currently operates several charter schools, serving students throughout Los Angeles.POSITION SUMMARY:The Enrollment Counselor supports prospective families throughout the enrollment process by providing responsive, high-quality support via phone, email, and digital systems. This role ensures families successfully complete applications, submit required documentation, and move efficiently through the enrollment pipeline.The Enrollment Counselor works primarily in a remote or hybrid environment and collaborates closely with school-site office staff to ensure enrollment files are complete, compliant, and aligned with organizational goals. This role is results-driven and accountable for supporting enrollment targets through consistent follow-up, communication, and data management.ESSENTIAL FUNCTIONS & JOB DUTIES:KEY CONTRIBUTIONSDemonstrates knowledge of and supports Ingenium Schools' noble cause, values, standards, policies and procedures, operating instructions, confidentiality standards, and code of cooperationStrive to implement, by instruction and action, Ingenium Schools' philosophy of education and goals/objectives in connection with Ingenium's Signature PracticesContinuously maintain and improve professional competenceAttend mandatory trainings, professional meetings, and educational conferences, as requiredInitiate and exercise good judgment and positive working relationships with the community, students, staff and with public and private agenciesDUTIES AND RESPONSIBILITIESServe as a primary point of contact for prospective families via phone, email, and online platforms.Guide families through the enrollment and application process from initial inquiry to completion.Proactively follow up with families to ensure required documentation and forms are submitted accurately and on time.Provide clear, accurate information about charter schools and Ingenium programs.Support reporting related to enrollment progress and trends.Maintain compliance with enrollment procedures and deadlines.Collaborate with school-site office staff to ensure enrollment files are finalized and ready for student onboarding.Communicate enrollment updates and escalate concerns when necessary.Participate in team meetings and professional development.Support peak enrollment periods with flexibility and urgency.Maintain productivity and accountability in a remote or hybrid work environment.Use organization-approved systems and equipment appropriately.Duties may be adjusted or expanded based on organizational needs.Monitor and manage an active enrollment pipeline to ensure timely application completion.Ensure confidentiality and security of student records.Demonstrate knowledge of, and support Ingenium Schools' mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and code of conductUnderstand charter schools; able to educate parents about what charter schools are and are not, dispelling charter school mythsAbility to speak and write fluent English and SpanishAbility to assist with translations (English to Spanish)Basic knowledge of computer programs (e.g., Google Docs, Excel, etc.)Ability to learn computer software for data entryProcess documents and materials; assist in the creation of student enrollment records, ensuring their accurate completion; distribute flyers; enter enrollment data, update student information and process student dataFill out forms with student information; File papers, as neededResponsible for the maintenance, storage, security and confidentiality of student enrollment files; responsible for inputting and maintaining student data into Student Information System (SIS); create statistical reports as neededTrack student application status and maintain accurate records in the Student Information System (SIS).Attention to detailAnswer phones using a professional and courteous manner; Requires extended periods of computer use, phone communication, and virtual collaboration.PHYSICAL DEMANDS:Primarily sedentary work. Must be able to operate a computer, telephone, and other standard office equipment for extended periods.WORK SCHEDULE/LOGISTICSThe working hours vary according to the needs of the organization.
