This role ensures smooth internal processes, promotes cross-functional collaboration, and contributes to our culture of transparency, ownership, and long-term success.Schedule: Monday to Friday 7am to 4pmPay: $70,000 - $90,000, depending on experienceKey ResponsibilitiesAdministrative OversightManage office operations, supplies, and vendor relationshipsMaintain organized filing systems and ensure document accuracySupport invoicing, order processing, and basic financial trackingSupporting Service ManagerReceive and process service orders from customers and internal teamsSchedule service-related activities and ensure timely documentationCommunicate with warehouse staff and customer service to align prioritiesTrack service order status and follow up to ensure completion and satisfactionCustomer RelationsServe as a primary point of contact for customer inquiries and follow-upsBuild and maintain positive relationships with clients and vendorsResolve issues professionally and escalate concerns when neededEnsure customer interactions reflect ownership valuesOracle ERP System SupportEnter and maintain accurate data in Oracle ERP modules (e.g., Order Management, Inventory, Financials)Generate reports and assist with reconciliations or transaction reviewsCollaborate with accounting and operations teams to ensure ERP accuracyIdentify and escalate system issues or process gaps for resolutionTeam & Communication SupportServe as a liaison between departments to ensure timely information flowAssist with internal communications and employee-owner updatesCoordinate meetings, prepare agendas, and support onboarding logisticsFacilities & ComplianceEnsure the office environment is clean, safe, and well-stockedMonitor equipment maintenance and coordinate service providersSupport compliance with company policies and ESOP-related documentationOwnership Culture EngagementParticipate in ESOP education and employee-owner meetingsPromote shared success through collaboration and process improvementUphold company values in all interactions with staff, vendors, and customers Qualifications High school diploma or equivalent; associate or bachelor's degree preferred3-5 years of office management or administrative experienceExperience with Oracle ERP systems (Order Management, Inventory, and Financials)Strong organizational, communication, and customer service skillsProficiency in Microsoft Office and ERP/CRM systemsAbility to multitask and maintain professionalism in a fast-paced environmentPreferred Attributes Experience in employee-owned or mission-driven organizationsFamiliarity with service order workflows or distribution industriesCommitment to accuracy, integrity, and team collaborationAbility to build rapport and maintain long-term customer relationshipsThis is a drug free workplace.
