The Sample Coordinator is responsible for coordinating and managing the receipt and sending out of samples from vendors, our in-house production and photography teams. Maintain an accurate logbook (with photos)/tracking chart of incoming and outgoing samples daily. Request ad samples from production as needed and manage end-to-end production of eCommerce product imagery. They will collaborate with buyers and the warehouse to ensure all merchandise is received for sell-in and sell-through and editorial shoots. The Sample Coordinator reports directly to the Photo Producer. COMPETENCIES: Accountability: Demonstrates a sense of corporate responsibility. KEY RESPONSIBILITIES: Be a TPS brand ambassador Manage and own sample requests and tracking sheet for all samples related to eCommerce, Digital and Print Marketing Ensure sample and stock requests are received as ordered and to liaise with teams in case of discrepancies Receive and unpack daily deliveries from the Warehouse and Buyers and ensure the product is logged in, tagged, tracked and properly stored. Catalog each item and manage logs to track each unit Update all current information on samples and photography status within the tracker Ensure efficient and timely return of all temporary loaned stock to the warehouse or to buyers Maintain library of collections and inventory through an organized system of checking in and checking out, with the goal of minimizing conflicting requests and maximizing sample usage Manage the movement of product samples between business partners with meticulous attention to detail Timely fulfilment of in-house requests for products. Manage and track incoming invoices for sample orders and communicate to buyers any issues related to the same Monitor all deadlines for samples – sample due dates, photo shoots, launch dates, creative turn times Apply all necessary steps to ensure the highest possible product care Maintain good working relations with own team, and other departments by communicating effectively and assisting other departments with stock enquires Upkeep of the sample room – keeping the area tidy and secure. Clean, reorganize and restore samples so it’s in ready condition at all times Process weekly audits Upload eComm images to DAM with appropriate style SKU labels Request vendor art for eCommerce images Liaison between digital creative team for resizing and retouching and then uploading onto DAM Troubleshoot all changes regarding color, sizing, and any arising discrepancies from sample to production Manage product development process of lighting, including scheduling and preparing for conference calls Conduct initial assembly when applicable Move and stage product for assortment reviews, catalog meetings, style-outs, and web studio photography JOB REQUIREMENTS: Proficiency in Microsoft Excel Strong sense of urgency and a high level of attention to detail Ability to think independently and objectively to develop well thought out strategies based on both quantitative and qualitative data Strong written and verbal communication skills Strong organizational and time management skills with the ability to work under pressure and adapt to changing priorities and directions. Ability to work well in a team setting Desire to contribute to a positive, solution-oriented and progressive work environment Resourceful, efficient and a self-starter Attention to detail and ability to multi-task Able to lift up to 30 lbs.
