Executive Administrative Assistant

We are seeking a highly polished, proactive, and detail-oriented Administrative Assistant to provide dedicated support within a fast-paced, high-pressure executive environment. This full-time, onsite position works closely alongside a senior Executive Assistant in supporting a high-level executive and ensuring seamless day-to-day operations.The ideal candidate is organized, resourceful, adaptable, and able to maintain professionalism and discretion while managing a wide range of responsibilities. This role requires someone who thrives under pressure, can anticipate needs, and is comfortable handling both professional and occasional personal support tasks in a dynamic environment.Location: South Bay area of Los AngelesSchedule: Fully onsite, 5 days per week. Minimum of 40 hours weekly, with flexibility to start earlier and stay later as needed.Employment Type: Direct hire positionResponsibilitiesProvide day-to-day administrative support to a high-level executive and senior Executive AssistantCreate, maintain, and update spreadsheets, reports, and organizational tracking documentsPrepare presentations, reports, and other administrative materials with a high level of accuracy and professionalismOrganize and maintain filing systems, records, and confidential documentsAssist with data entry, record keeping, and light bookkeeping responsibilitiesCoordinate errands and assist with occasional personal support tasks as neededHelp manage priorities, schedules, and operational workflows to ensure efficiencySupport special projects and handle ad hoc administrative tasks in a timely mannerMaintain confidentiality and exercise discretion with sensitive informationCommunicate professionally with internal and external stakeholdersAdapt quickly to changing priorities and urgent requests in a fast-moving environmentAssist with ensuring daily office and executive operations run smoothly and efficientlyQualificationsPrevious experience in an Administrative Assistant, Executive Assistant, or similar support role preferredStrong proficiency in Microsoft Office Suite, particularly Excel, Word, and OutlookExceptional organizational skills and strong attention to detailAbility to multitask and prioritize effectively in a high-pressure environmentExcellent written and verbal communication skillsProfessional demeanor with strong interpersonal skillsAbility to handle confidential information with discretion and maturityResourceful, proactive, and solution-oriented mindsetFlexible and willing to work beyond standard business hours when urgent matters ariseStrong work ethic with a "no task too small" attitudeAbility to work onsite full-time in a collaborative executive environmentCandidates from a variety of industry backgrounds are encouraged to apply
