Marketing Coordinator (Events)

As the Marketing Coordinator, Events you will utilize your event organizational, project management, and collaboration skills to assist the US Field Events Team in planning and executing third-party events across various industries and audiences. You will be an integral part of a close-knit team that is responsible for executing a diverse range of events. You will bring to the position a solid understanding of event logistics and proven success in supporting both live and virtual events.Our client's Event Managers work closely with internal and external stakeholders to understand, define, coordinate, and project-manage all deliverables, timelines, and milestones associated with tradeshows and other events. They are the facilitators and conduit between many teams, executing tradeshows and events across all the client's brands and solutions.As the Marketing Coordinator, Events you'll play a critical role in providing logistical and administrative support to that team. You'll contribute to the overall success of the events by assuring smooth operations, providing feedback, and working closely with the Event Managers to support each event and department functions.Responsibilities:Management and LogisticsSupport US Field Event Team with event execution and logisticsLead event supplies and branded items management; oversee inventories and place ordersSchedule planning meetings, build-out event playbooks and after-action reviewsServe as liaison for the department with key vendorsManage hotel blocks for strategic, tier 1 eventsManage and execute small-scale events, if neededResearch and vet vendors including entertainment, décor, gifts, DMCs, restaurants, and venuesAdditional event-related responsibilities for upcoming events as definedReporting and Administrative SupportConduct data QA by assuring completeness and accuracy of events data to track and analyze spend and performanceSupport the creation of department planning workspaces, and campaigns on collaborative software solutions, including Salesforce, Atlassian, Jira, Miro, WorkfrontAssist with creation of enter-to-win process, including survey, QR code, and sign creationAssist in preparing department reports as requestedCollect monthly credit card receipts and prepare reconciliation on Concur softwareSubmit event invoices and track PR/PO status and paymentsMaintain US Events Calendar.Manage Events Team and Executive Leadership Team contact listsBecome a power user for onsite lead management solution, exhibit asset management solution, campaign management toolsDevelop familiarity with event KPIsOther administrative support as requestedRequirements:Bachelor's Degree, with 2+ years in Event ManagementExperience supporting the planning and execution of small and large-scale live and virtual eventsStrong interpersonal, written communication, and problem-solving skillsAbility to proactively address constraints using proven problem-solving skillsMulti-tasker who is comfortable working in a fast-paced environmentAbility to manage multiple priorities to execute high quality deliverablesKeen attention to detail and the ability to think and plan strategicallyDemonstrated experience working with cross-functional teamsWilling to find creative ways to do more with less, while staying on budgetSolid project management skillsSelf-motivatedPositive attitudeGlobally-mindedWorking knowledge of MS Office Suite and standard workplace technologiesYour Preferred QualificationsEvent experience in Tech, Professional Services, or Financial ServicesPrior Field Events and/or tradeshow experienceCMP certificationStrong diplomacy skillsStrong ability to negotiateVendor management experienceFamiliarity with Confluence, NetSuite, Salesforce, PowerBi, and Eloqua technologiesMover and a shaker, not an order taker
