Office Assistant
The Office Assistant is responsible for providing administrative support to the office in the day-to-day operations. This position is under the direct supervision of the Operations Office Manager. This successful candidate will have strong customer service skills, be able to multi-task, meet deadlines, and have strong organizational and communication skills. * This is a Starting Position*
Duties and Responsibilities:
Lead Reception Operations
Receive and screen all incoming phone calls and connect them to appropriate person
Give a warm greeting to all people entering the office premises
Handles all mail including certified mail, UPS/Fed Ex Packages
Monitor and maintain office equipment and supply stock by ordering office supplies
Research new vendors to cut cost
Scanning, photocopying, faxing and filing electronic documents
Ensure cleanliness and orderliness in the reception, kitchen, and conference rooms
Maintaining and scheduling in-office meetings on various platforms including our conference rooms calendar Zooms and MS Teams.
Provide clerical and administrative support to attorneys and other support staff
Assist with coordinating workshop lunches and firm events
Lead on document management system
Opens new client files
DocuSign and Dropbox
Schedule all travel arrangements for Operations events
Assist with Accounts Payables
Education and Experience:
Associate degree preferred
Proficient in Microsoft Office Suite applications
Extremely organized, detail-oriented, able to multi-task and prioritize their workload
Must have a positive attitude
Excellent communication skills, both oral and written
Must be able to work independently
Reliable, professional, strong sense of confidentiality and ability to exercise sound judgment
Prefer one year of experience in a professional administrative role but not necessary
Law firm experience is not necessary

Position Type/Expected Work Hours: This is a full-time non-exempt position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m.
Salary: $45k per year.
